Job description

Job Summary The Health IT Project Coordinator is a key position within the Health Information Management team, providing oversight and coordination for health technology projects. This role focuses on planning, implementing, and monitoring projects related to healthcare information systems, including Electronic Health Records (EHR) and other health software platforms. The coordinator serves as a liaison between clinical teams, IT staff, vendors, and consultants to ensure successful project delivery that meets healthcare compliance standards and organizational goals.

Responsibilities include scope definition, design specifications, project plan development, implementation, and validation, with an emphasis on improving patient care through technology. Principle Duties and Responsibilities Develop, maintain, and monitor project plans and schedules for health IT initiatives, including milestones, budgets, and resource allocation. Coordinate implementation and integration of EHR systems and other healthcare applications across departments.

Translate clinical and operational requirements into technical specifications and communicate these to stakeholders. Act as the primary point of contact for health IT projects, ensuring timely updates and clear communication with all participants. Prepare meeting materials, including agendas, presentations, and minutes, and track action items related to health technology projects.

Maintain master schedules for health IT projects, ensuring alignment with organizational priorities and compliance requirements. Track and report on project progress, risks, and issues, providing solutions where applicable. Ensure adherence to IT Project Management frameworks and healthcare regulatory standards (HIPAA, HITECH, etc.)

Facilitate vendor coordination for EHR and health software procurement, configuration, and deployment. Support training and onboarding for staff using EHR and other health IT systems. Document lessons learned and maintain knowledge repositories for health IT projects.

Perform other duties as assigned by the HSD and/or IT Executive Director or management. Required Knowledge, Skills, and Abilities Knowledge of: Healthcare IT infrastructure and EHR systems (RPMS, NextGen). Enterprise virtualization technologies (VMware, Nutanix, Hyper-V).

Microsoft Server OS and hybrid Active Directory environments. Microsoft 365 services for healthcare collaboration. Storage systems (Pure Storage, EMC/Dell Storage) and health data management.

HIPAA compliance, health data security, and cybersecurity best practices. Disaster recovery and health data backup procedures. Project management principles for health IT initiatives.

Skills and Abilities: Strong knowledge of EHR systems (e.g., Epic, Cerner, NextGen, or similar) and healthcare software platforms. Familiarity with interoperability standards (HL7, FHIR) and health data exchange protocols. Ability to manage multiple health IT projects simultaneously and prioritize tasks effectively

Proficiency in Microsoft Suite, Microsoft Teams, and Microsoft Project. Understanding of clinical workflows and healthcare compliance requirements. Excellent written, oral, and interpersonal communication skills for interaction with clinical staff, IT teams, and external partners.

Strong analytical skills and ability to troubleshoot health IT issues. Education, Certifications and Experience Required Associate's degree in Health Information Technology, Computer Science, Project Management, or related field; minimum of three (3) years of experience in health IT project coordination or equivalent combination of education and experience. Certifications: Certified Professional in Healthcare Information and Management Systems (CPHIMS) or Project Management Professional (PMP).

Experience with EHR systems such as RPMS and NextGen is required. Special Requirements: Must possess and maintain a valid Arizona Driver's License. Must have a current Level 1 Arizona Clearance Card or be able to obtain one within ninety (90) days of hire.

Failure to maintain the current Level 1 Clearance Card will result in termination from this position. Must be available for flexible scheduling, including evenings and weekends as required. Proficiency in Microsoft Word and Outlook.
