Position Summary

The Practice Coordinator serves as a key member of the leadership team, providing both administrative and clinical support to ensure the successful operation of our physician practices. This role is approximately 70% administrative and 30% clinical.

Working closely with the Medical Directors and Vice President of Operations, the Practice Coordinator is responsible for overseeing day-to-day practice operations, supporting providers, coordinating quality initiatives, and assisting with patient care activities. Clinical responsibilities include communicating test results to patients, addressing routine clinical inquiries, and providing light clinical support to providers as needed.

Key ResponsibilitiesAdministrative Leadership

• Support Medical Directors and the Vice President of Operations in the daily management of physician practices.
• Coordinate provider schedules, staffing needs, and operational workflows.
• Assist with quality improvement initiatives, patient satisfaction programs, and performance reporting.
• Collaborate with coding, billing, and administrative teams to ensure efficient practice operations.
• Develop, implement, and maintain policies and procedures that support organizational goals and regulatory compliance.
• Monitor provider licensure, certifications, hospital privileges, CME requirements, and other regulatory obligations.
• Coordinate vendor relationships, service contracts, and office supply management.
• Address patient concerns and complaints professionally and promptly.
• Maintain accurate records, reports, and operational documentation.

Clinical Support

• Communicate test results and follow-up instructions to patients under provider direction.
• Assist providers with patient care coordination and routine clinical tasks.
• Support patient education initiatives and ensure timely communication with patients and families.
• Promote adherence to clinical protocols and quality standards.
• Maintain patient confidentiality and ensure HIPAA compliance at all times.

Compliance & Quality

• Ensure compliance with HIPAA, CMS, state regulations, and company policies.
• Participate in quality improvement and utilization management initiatives.
• Assist with audits, accreditation activities, and regulatory reviews as needed.
• Support efforts to improve patient outcomes and operational efficiency.

QualificationsRequired

• Active Registered Nurse (RN) license in North Dakota.
• Minimum of 3 years of experience in a healthcare leadership, practice management, or coordinator role.
• Experience working in a hospital-based physician practice, clinic, or medical office setting.
• Strong knowledge of medical terminology, healthcare operations, and regulatory compliance.
• Excellent organizational, communication, and problem-solving skills.
• Proficiency with electronic medical records (EMR) systems and Microsoft Office applications.

Preferred

• Experience managing physician practices or healthcare operations.
• Knowledge of coding, billing, and revenue cycle management.
• Experience with utilization management and quality improvement initiatives.
• Previous supervisory or leadership experience, including staff training and performance management.
• Bachelor's degree in Nursing, Healthcare Administration, or a related field.

Position Summary

The Practice Coordinator is a key member of the operations team responsible for supporting the successful day-to-day management of our hospital-based physician practices throughout North Dakota.

Working closely with the Medical Directors and Vice President of Operations, the Practice Coordinator supports provider scheduling, hospital communications, quality initiatives, operational workflows, regulatory requirements, and administrative functions. This is a nonclinical position and does not require an RN or other clinical license.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working with physicians, hospital leaders, administrative teams, and external partners.

Key ResponsibilitiesPractice Operations

• Support the Medical Directors and Vice President of Operations with the daily management of physician practices.
• Coordinate provider schedules, staffing needs, schedule changes, and coverage requests.
• Maintain accurate provider, scheduling, operational, and administrative records.
• Serve as a primary administrative liaison among providers, hospital leadership, and company departments.
• Monitor operational workflows and identify opportunities to improve efficiency.
• Coordinate provider onboarding and offboarding activities in collaboration with credentialing, recruiting, payroll, and hospital departments.
• Assist with provider meetings, communications, and distribution of important operational updates.
• Attend pertinent hospital meetings, including quality meetings, daily operational huddles, and other required departmental meetings.
• Document meeting discussions, track action items, and ensure appropriate follow-up.
• Coordinate vendor relationships, service contracts, and office supply needs when applicable.

Provider and Administrative Support

• Respond to routine provider questions and direct requests to the appropriate department or leader.
• Assist providers with hospital access, system access, administrative forms, and operational needs.
• Monitor provider licensure, certifications, hospital privileges, continuing medical education requirements, and other regulatory obligations in coordination with the appropriate departments.
• Support the preparation and distribution of provider schedules, reports, presentations, and operational materials.
• Collaborate with credentialing, recruiting, coding, billing, payroll, and administrative teams to support efficient practice operations.
• Assist with tracking timesheets, travel documentation, provider expenses, and other required administrative submissions.
• Maintain confidentiality when handling provider, patient, financial, and organizational information.

Quality and Performance Support

• Assist with quality improvement initiatives, patient satisfaction programs, utilization management activities, and performance reporting.
• Collect, organize, and maintain data used for operational and quality reports.
• Track quality metrics, documentation requirements, and assigned improvement initiatives.
• Coordinate follow-up on patient concerns or complaints with the appropriate clinical or administrative leader.
• Assist with audits, accreditation activities, regulatory reviews, and corrective-action plans as needed.
• Support initiatives designed to improve patient outcomes, provider performance, and operational efficiency.

Compliance

• Support compliance with HIPAA, CMS requirements, state regulations, hospital policies, and company procedures.
• Help develop, implement, and maintain administrative policies and procedures.
• Ensure records, reports, and operational documentation are accurate, complete, and appropriately secured.
• Identify potential compliance or operational concerns and promptly escalate them to the appropriate leader.

Required Qualifications

• Minimum of three years of experience in healthcare administration, practice management, medical staff coordination, or a related healthcare coordinator role.
• Experience working in a hospital-based physician practice, clinic, medical office, or healthcare organization.
• Strong understanding of healthcare operations, medical terminology, and regulatory compliance.
• Excellent organizational, communication, and problem-solving skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong attention to detail and ability to maintain accurate records.
• Proficiency with Microsoft Office applications and electronic medical record or healthcare information systems.
• Ability to communicate professionally with physicians, hospital leaders, employees, and external partners.
• Ability to work independently while collaborating effectively with a remote and onsite leadership team.

Preferred Qualifications

• Experience supporting hospital-based physician practices or healthcare operations.
• Previous experience with provider scheduling, onboarding, credentialing, or medical staff services.
• Knowledge of healthcare coding, billing, and revenue-cycle processes.
• Experience supporting utilization management, quality improvement, or patient satisfaction initiatives.
• Previous supervisory, team-lead, or project-management experience.
• Bachelor’s degree in Healthcare Administration, Business Administration, or a related field.
