Job description

Join a dedicated healthcare team serving a regional community in the Midwest. This role as an Administrative Lead Medical Office Secretary involves training and guiding medical office secretaries and medical assistants to ensure smooth clinic operations and excellent patient service.
General Summary
The Lead Medical Office Secretary is responsible for orienting and training staff, monitoring performance, and maintaining consistent procedures across multiple clinics within the healthcare system.
Essential Duties and Responsibilities

  • Provide clerical orientation and formal training for medical office secretaries and medical assistants following established policies.
  • Offer retraining through observation and management direction to ensure adherence to procedures.
  • Conduct annual competency assessments for all medical office secretaries and assistants within designated timeframes.
  • Provide float coverage and clerical support across clinics to maintain staffing and training consistency.
  • Monitor secretarial operations to identify and address problem areas, recommending improvements to reduce errors and enhance work habits.
  • Communicate and promote policy and procedural changes positively within the organization.
  • Focus training efforts on individual learning needs to optimize staff performance and customer satisfaction.
  • Collaborate with leadership to develop and support the Medical Office Secretary Preceptor program for ongoing orientation and training.
  • Maintain active skills by performing medical office secretary duties as needed to support clinic coverage.

Education
High school diploma required. Associate degree in Business or Healthcare-related field preferred.
Experience
Minimum of two years in a medical office secretary or similar role with emphasis on customer service and collections. Demonstrated proficiency in medical office secretary responsibilities is essential.
Certification/License
None required.
Mental/Physical Requirements
Requires considerable mental concentration. Physical activities include lifting up to 15 lbs, standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching.
Working Conditions
Medical office environment with potential exposure to infectious diseases and occasional hostile individuals. Minimal physical discomfort expected.
