Job description

The Commercial Operations Specialist is responsible for ensuring all customer orders are processed timely and accurately.  This includes, but is not limited to, entering customer sales orders, creating corresponding work orders, communication with all interested parties, providing status updates as needed, and ensuring all necessary documentation is complete. 

What You Will Do:

·       Process customer orders/revisions with full understanding of any customer specific requirements.  Ensure order information is complete and accurate.  Notify management of any issues or concerns with orders promptly and take necessary actions.  The Commercial Operations Specialist shall have a good working knowledge of our ERP (Traverse) and a full understanding of the impact of their transactions within the ERP. 

·       Coordinate any order revisions/issues with the customer and assure corrected orders are received in a timely manner.  This includes working to resolve issues related to customers’ ordering systems.

·       Process operational orders/revisions as needed.  This includes, but is not limited to, providing advanced PO summary notices to manufacturing partners, processing POs to appropriate facility, confirming ship dates, and notifying management of any issues. 

·       Track ocean freight shipments and act as logistics coordinator to manage forwarder and customer transactions of goods, providing accurate information to all necessary 3rd parties.

·       Manage accounts receivable and accounts payable functions.  Eventually participate in month-end closing under the supervision and review of the VP of Operations.

·       Assist management with sales and operational reporting as needed.

·       Possess a thorough working knowledge of all customers’ ordering systems. Implement new software systems/upgrades as they occur.

·       Assist in documenting all current processes.  This role will also be a major contributor of ideas for process improvements.   As processes are changed the Commercial Operations Specialist will assist in testing and validating these changes.

·       Play a key role in ensuring all data is accurate, including item costs, selling prices, quantities, ship dates, etc. 

·       As an entrepreneurial firm, the needs of our business are constantly changing as we continue to grow and add new customers.  As this occurs, the role of the commercial operations specialist will evolve and may include new duties such as, learning the compliance requirements of new customers and conveying that information to the rest of the business, performing analysis to support sales presentations, and other functions to better support the company’s continued growth.  For a candidate to be the right fit for this position, an individual must be eager to take on these new duties as this level of flexibility will be the best way to grow the company’s profits, increase the value of the position to the company, and maximize long-term compensation.



What You Will Need:     

- Strong work ethic and communication skills

·       Self-motivated personality with the ability to handle tasks independently

·       Experience working for an entrepreneurial small to medium-sized firm a plus

·       2+ years of commercial operations, accounting, or bookkeeping experience

·       Bachelor’s or associate degree is preferred

·       Ability to effectively coordinate time sensitive tasks across multiple vendors/customers

·       Data analysis and manipulation experience using MS Excel

·       Basic working knowledge of ERP systems
