SUMMARY:
The Group Reservations Coordinator is an hourly position. This role provides the highest level of service for our group/convention/social clients and their event reservation experience. This position displays above and beyond care for all guests that they may come in contact with, while maintaining a professional manner. Hours and days worked will be based on business needs as determined by the Director of Group Reservations / Group Reservation Manager(s) and/or the Director of Rooms.
ESSENTIAL FUNCTIONS:
The Group Reservations Coordinator (GRC) is responsible for the daily management of guest reservations defined under the group reservations category. Further job requirements include but are not limited to:
1. Accurate input of rooming lists, or delegation thereof with timely (48 hour) follow-up to assure complete accuracy.
2. 48-hour turnaround on specialized reservation information found on Re-Caps one year out or less, 72 hour on all groups 1+ year out.
3. The GRC will act as the direct point of contact for our corporate and social clients and assist with all direct bill reservations.
4. The GRC will work closely with the Business Travel Manager and assist with reservations.
5. The GRC will complete weekly pick up reporting for groups 90 days out.
6. The GRC must be present for any Rooms or Group related meetings in the absence of the Group Reservations Manager(s).
7. Continual communication to hotel front desk agents and leadership regarding block information.
8. Group History Tracking: wash percentage of groups over 100 room nights to be tracked and group recap summary to be distributed within 48 hours of groups departure.
9. GRC to assist Front Desk with blocking, pre-registering, pre-keying, and satellite check-ins when needed.
10. Morning and evening availability. To be present and able to assist the front desk during large volume group arrivals and departures - flexible schedule to be planned one week in advance.
11. Continual monitoring of all group cut-off dates and blocks, especially over tight dates, to ensure sell-out status when appropriate.
12. Responsibilities are not limited to the above and GRC will assist with other tasks as assigned by Leadership
REQUIRED SKILLS:
- Must become a routine user of all Amway Grand Plaza Hotel Reservation systems (OnQ, R&I, Passkey, and Delphi)
- Must be familiar with hotel layout, products, services, amenities, and history.
- Ability to utilize either Lotus or Excel to produce monthly reports.
- Must be able to utilize Microsoft Word for Windows Documents.
EDUCATION & EXPERIENCE:
- Four-year degree from an accredited college or university preferred.
- 2+ years supervisory experience in a hotel operations department.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the associate:
- Is regularly required to stand, walk
- Is required to use hands and fingers to handle or feel objects
- Is required to frequently reach with hands and arms
- Is regularly required to talk or hear; taste or smell
- Is occasionally required to sit and stoop; kneel, crouch, or crawl
- Must occasionally lift and/or move up to 50 pounds
