Reports To: President / Vice President of Operations
Salary: $80,000–$100,000 plus performance bonus

Position Summary

The PCE Operations Manager is responsible for coordinating the day-to-day operations of the Personal Care Encounter program. Working closely with leadership, clinicians, coding, scheduling, technology, and client support teams, this individual ensures the program runs efficiently while continuously improving workflows and the member experience.

This is a hands-on operational role for someone who enjoys bringing structure to complex processes, keeping multiple teams aligned, and ensuring nothing falls through the cracks. While healthcare experience is valuable, we are equally interested in candidates who have demonstrated exceptional organizational, project coordination, and operational leadership skills in fast-paced environments.

Key Responsibilities

Daily Operations

  • Coordinate the daily operations of the PCE program.
  • Monitor clinician schedules, appointment volumes, and operational performance.
  • Identify and resolve workflow issues before they impact clinicians or members.
  • Coordinate activities across multiple departments to ensure seamless operations.
  • Support leadership in implementing new operational initiatives.

Clinician Support

  • Serve as the primary operational resource for field clinicians.
  • Coordinate onboarding and orientation for new clinicians.
  • Assist with scheduling concerns, workflow questions, and operational support.
  • Ensure clinicians have the tools and information needed to provide an exceptional member experience.

Cross-Functional Coordination

  • Assist with technology rollouts and system enhancements.
  • Help build scalable processes that support program growth.

Client Support

  • Prepare operational reports and presentation materials.
  • Track action items from internal and client meetings.
  • Ensure commitments and timelines are met.
  • Maintain documentation for ongoing projects and initiatives.

Quality & Compliance

  • Support HIPAA-compliant operational processes.
  • Assist with quality assurance initiatives.
  • Monitor operational consistency and documentation standards.
  • Escalate issues requiring leadership attention.

Qualifications

Required

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • 3-5 years of experience coordinating operations, projects, or cross-functional teams in a fast-paced environment. Healthcare experience is preferred but not required.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • Strong organizational, planning, and project coordination skills.
  • Excellent written and verbal communication.
  • Strong proficiency with Microsoft Office, particularly Excel.
  • Comfortable learning new technology platforms and operational systems.
  • A proactive, solution-oriented mindset with exceptional attention to detail.
