Job description

AbelCine is a full-service equipment and technology provider to the broadcast, production, and new media industries. We offer sales, finance, training, rental, and tech services to our professional customer base with offices in New York, Chicago, and Los Angeles.
We are currently seeking a Grant Coordinator to join our Training Department in our NYC headquarters. This key position supports the coordination and execution of the NJEDA grant program, ensuring all grant-related activities run smoothly. The role involves a high level of coordination, ownership, and external interaction, including leading outreach and recruitment, serving as the main point of contact for instructors and students, assisting with curriculum development, onboarding instructors, and managing partnerships. This is a great opportunity for a motivated, hands-on individual to be part of a fast-paced and dynamic team.
This key position encompasses the following responsibilities:
  • Coordinate all Grant-related activities, including, but not limited to:
    • Lead outreach and recruitment efforts for students.
    • Serve as the main point of contact for instructors and students.
    • Assist Instructors with curriculum development.
    • Hire and onboard third-party and freelance instructors, including IATSE members, in coordination with the HR and Training Teams.
    • Work with AbelCine management to identify and secure studio, community, and other partners.
    • Organize class materials and equipment, in coordination with the Rental Department, as required.
    • Coordinate logistics for locations already secured, help secure additional locations, as needed.
    • Assist with coordinating AbelCine team members' schedules to support grant efforts, as needed.
    • Anticipate the needs of each class or event and plan accordingly. This includes booking equipment, printing course materials, general AV support, etc. This also includes wraparound services, such as child/elder care, transportation, translation, etc. services.
  • Coordinate the operational side of the Grant, including, but not limited to:
    • Provide Training and Accounting Teams with invoicing, administrative, and customer service support.
    • Assist with development of Grant schedule. Manage any updates or changes.
    • Track Grant expenses in accordance with quarterly Grant reporting.
    • Coordinate with HR to facilitate payroll for instructors and other Grant partners.
    • Assist with completing reports as required by the NJEDA. At minimum, this will include quarterly, mid- and final-grant reports.

Successful applicants should possess the following attributes:
  • 1-2 years of experience in grant administration, program coordination, educational programs, adult training programs, or workforce development.
  • Budget tracking or grant reporting experience.
  • Strong project management and organizational skills.
  • Strong written and verbal communication skills.

Preferred experience:
  • Familiarity with film production, media training, or technical education environments.
  • Experience coordinating union or freelance instructors (e.g., IATSE).
  • Bilingual or multilingual communication skills.

Engagement Details:
  • Engagement: Full-Time Employment. This is an at-will position that is currently anticipated to be funded through the NJEDA grant, expected to run approximately 1.5-2 years.
  • Location: Onsite - Brooklyn, NY
  • Classification: Non-Exempt
  • Schedule: Monday through Friday, 9 AM - 6 PM
  • Compensation: $60K - $65K
