Description
JOB DESCRIPTION:
• Leads the administrative operations of the Pathology Residency Program, ensuring timely execution of program activities and compliance with institutional requirements.
• Serves as the primary lead in organizing, coordinating, and planning the operational components of the training program and its associated activities. Responsibilities include establishing long-term and intentional strategic objectives, conducting research on factors influencing program success, and collaborating with the Residency Program Director, Vice Chair for Education, and other stakeholders to identify and document program requirements that lead to the development of strategic initiatives.
• In collaboration with the Residency Program Director, designs and implements strategic work plans to achieve program goals and objectives, while systematically monitoring progress to ensure successful outcomes.
• In partnership with the Residency Program Director, leads the preparation and execution of residency program accreditation activities (e.g. ACGME Resident and Faculty Surveys, ACGMe WebADs, Clinical Competency Committee, Program Evaluation Committee, and Semiannual Counseling meetings), ensuring rigorous adherence to accreditation standards and comprehensive readiness for site visits.
• Works together with the Residency Program Director to respond to requirements from the Emory GME Office, including but not limited to, preparation and submission of the program FTE budget, duty hour compliance reports, annual program evaluation updates, program letters of agreement, and other documentation or requests as needed to ensure institutional and accreditation compliance.
• Collaborates with the Residency Program Director and residency leadership to strategically plan and coordinate residency orientation, ensuring a comprehensive and well-organized onboarding experience.
• Works together with the Vice Chair for Education, Residency Program Director, and Fellowship Program Coordinators to plan and deliver a successful Pathology graduation event, ensuring all elements are thoughtfully executed.
• Leads, manages, and administers all resident leave and reimbursement requests, ensuring efficient execution and accurate policy compliance.
• Maintains residency-related evaluations and manages the entry and upkeep of rotation schedules within New Innovations to ensure operational efficiency and compliance with program requirements.
• Manages and updates residency program website content in coordination with the Vice Chair for Education, Residency Program Director, and Pathology Communications Manager to ensure accuracy, consistency, and alignment with institutional and ACGME standards.
• Efficiently oversee all aspects of the residency program recruitment cycle, including coordinating pre-interview webinars, reviewing ERAS applications, scheduling faculty interviews, managing interview evaluations, organizing the residency ranking meeting, and submitting the final rank list in the NRMP system.
• Manages resident roster submissions and updates for the American Board of Pathology, and ensures timely dissemination of board communications to residents.
• Oversees all aspects of the ASCP RISE exam process, including registering new residents, maintaining rosters, coordinating exam logistics with Chief Residents and proxy supervisors, managing communications with ASCP representatives, and liaising with IT support to ensure technical readiness for exam administration.
• Manages secure Emory OneDrive repositories supporting residency program operations, including evaluation forms, discussion feedback, and multiple anonymous reporting channels for residents, fellows, and staff to program leadership.
• Develops, coordinates and supports program-related events, including conferences, conventions, and meetings, ensuring alignment with program objectives.
• Monitors program expenditures, contributes to budget planning, and prepares financial reports to the Vice Chair for Education, Residency Program Director, Department Administrator, or Emory GME Office to support fiscal accountability.
• Assists in identifying funding opportunities and supports the development of fundraising strategies and initiatives.
• Conducts training sessions, represents the program at professional meetings and conferences, and fosters relationships with affiliated organizations.
• Provides support for international trainees, including facilitating H-1B/J-1 visa processes and assist in resolving related immigration issues.
• Provides oversight, direction, and mentorship to the Pathology Residency Program Administrative Assistant, ensuring effective performance and alignment with program goals.
• This role requires regular on-site presence, with in-person attendance expected at least 4 days per week.
• Performs additional responsibilities as needed to support the success and sustainability of the program.
• This is a program management role and not an administrative support position.
KEY RESPONSIBILITIES:
- Designs, implements, and coordinates operational facets of a specific program.
- Develops strategic plans and objectives that ensure the program's continued success, and develops evaluation methods to assess outcomes.
- Conducts program research and ensures that the preparation of mandatory operational, statistical, and financial reports are accurate and factual, and that all reports comply with federal and state regulations and/or institutional policies.
- Designs training programs and materials, conducts training sessions, and represents the program at various conferences, meetings, or seminars.
- May plan, administer, or monitor the program's budget and/or grants, and conduct financial forecasting for the program.
- May develop fundraising programs, including researching and identifying funding sources, and writing and submitting grant proposals.
- Serves as a liaison to and interacts with other groups and organizations participating in the program or seeking knowledge of the program; may write and present speeches.
- Maintains complete and accurate program records.
- May serve on or chair various University committees.
- May supervise program staff, interns, and/or volunteers.
- Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
- A bachelor's degree in a field related to specified program areas and five years related program management experience, or an equivalent combination of experience, education, and training.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
