Job description

Districts and states buy through formal procurement, which means the RFP is often our first and most consequential impression. The RFP Manager owns that process end to end: deciding which opportunities are worth pursuing, running each proposal to an on-time, high-quality submission, and keeping our proposal content library sharp so every response starts from our best material.

This is a high-ownership role for someone who thrives on deadlines, moves fast without dropping details, and treats a submitted proposal as a scoreboard, not a checkbox. You'll work across sales, leadership, and finance, and you'll be the single point of accountability for every proposal that leaves the building. Win rate and on-time submission rate are yours to move.

Responsibilities
  • Opportunity Qualification
    • Maintain the RFP inbox at inbox zero, triaging and logging every solicitation the day it arrives.
    • Qualify opportunities against clear go/no-go criteria and surface the ones worth pursuing
  • Working the Proposal
    • Coordinate the response across sales, leadership and finance, keeping everyone accountable to their piece.
    • Own the deadline. Build the timeline backward from submission and make on-time delivery non-negotiable.
    • Write clear, persuasive, compliant proposals that answer exactly what's asked.
    • Complete required forms and attachments, directly or by pulling answers from the right people.
    • Own communication with procurement throughout the process, submitting questions, tracking addenda, and chasing outstanding answers.
  • Maintaining the Document Library
    • Keep all template and boilerplate content current, so every proposal starts from vetted material.
    • Manage all FOIA (public records) requests, coordinating with legal as needed.
What Success Looks Like
  • The RFP inbox is at zero and every opportunity has a documented, defensible go/no-go decision.
  • Proposals are submitted on time, every time, with zero disqualifications for missed requirements or incomplete forms.
  • Rate of getting to demo stage & win improve over time
  • The content library is current enough that any proposal can start from vetted, ready-to-use material.
  • Procurement contacts experience SchooLinks as responsive, precise, and easy to work with.

Requirements

    • 3+ years managing proposals, bids, or RFP responses, ideally in a B2B, govtech, edtech, or public-sector-facing environment.
    • Comfortable using AI tools.
    • A strong writer who can turn technical and cross-functional input into clear, persuasive, compliant prose.
    • Relentless organization and deadline discipline. You run multiple proposals at once without letting anything slip.
    • Comfort driving work across teams and holding people accountable to commitments, including those who don't report to you.
    • Sharp judgment on qualification. 
    • Familiarity with public procurement, government RFPs, and processes like FOIA/public records is a strong plus.
  • High ownership and low ego.

A reasonable estimate of the base salary range for this position is $70,000 - $90,000 USD. This compensation range is specific to the United States and it incorporates many factors including but not limited to an applicant's skills and prior relevant experience and training; licensures, degrees, and certifications; specific geographic location; internal equity; internal pay ranges; and market data/range parameters.
