JOB DESCRIPTION:
As Executive Project Manager, you'll work closely with our CEO to keep things moving across the organization. You'll be the first point of contact for requests that come their way, triaging what needs attention and handling what doesn't. On the project side, you'll help execute on project charters and support implementation of leadership's vision. Day to day, you'll prepare documents, reports; handle sensitive information with discretion; and keep the CEO ahead of what's time-sensitive. We're looking for someone who is comfortable leveraging AI tools and emerging technologies to improve efficiency, streamline workflows, enhance decision-making, and support high-quality execution across the business.

You will:
  • Demonstrated ability to leverage AI tools (e.g., Claude AI) to streamline processes, generate insights, and improve overall efficiency
  • Assist in project management, including strategizing project planning, intake, prioritization, initiation, research, and execution; as well as in fostering collaboration of end-users and key stakeholders.
  • Act as primary gatekeeper and point of contact for requests typically submitted to the CEO, triaging and responding when necessary.
  • Safeguard confidential and sensitive information and use discretion when handling private matters.
  • Work with the CEO to maintain and support his time, schedule, speaking engagements, travel arrangements, email inbox and other daily work activities. Exercise discretion in committing time and evaluating needs.
  • Coordinate across departments on behalf of the CEO as needed, including providing administrative support for the OxBlue Leadership team.
  • Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
  • Prepare, reconcile, and submit expense reports and other files as necessary.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Leadership as needed.

You Have:
  • At least 2 years experience with project management and administrative support.
  • Experience handling and protecting confidential/sensitive information.
  • Ability to prioritize daily workload for both you and the CEO in a fast-paced environment.
  • Strong organizational skills that revolve around multitasking, paying attention to detail and time management.
  • Formal reasoning skills for problem-solving and decision-making.
  • Professional level verbal and written communication skills.
  • Basic understanding of frequently used computer software and applications such as Google Drive and Microsoft Office.
