JOB SUMMARY:

Overall Summary of Function

This position offers direct operational support for events that encompass various aspects of our

Blueprint scope. The Program Manager acts as the primary liaison between our Sales team and other

departments within the organization. This involves ensuring effective communication of deliverables,

providing timely updates, and offering essential supporting documentation related to events.


ESSENTIAL JOB FUNCTIONS:

At Minimum Duties & Responsibilities

● Serves as the operational liaison between internal departments and sales

● Advanced understanding of various event types: Tradeshows, Corporate Conferences, Social events, etc.

● Decision making ability internally and on-site to ensure results/client satisfaction

● Possesses comprehensive knowledge of company inventory

● Possesses ability to price V-Series builds for sales

○ Advanced comprehension of V-Series builds, sizes, construction + SEG/Substrate needs

● Advanced understanding of fabrication and materials

● Advanced understanding of print substrate and best use practices.

● Maintains maximum proficiency in the company software and the client database management system

Intellievent/Asana/Google Suite/Adobe

● Maintains comprehensive knowledge of event process flow (Order Stages)

○ Manages event order life cycle (contract creation, distribution, revisions, client communication, invoicing,

etc.)

● Works hand in hand with all Operational Departments to ensure event success

● Actively participates in production meetings providing clarification for upcoming events upon request

○ Host independent production meetings to convey installation and dismantle of events; formulating

installation & dismantle plans as needed.

● Creates, revises and distributes written client contracts both externally and internally; manages client files.

● Coordinates sub-rentals & entertainment with approved vendors.

● Proactively resolves inventory conflicts as needed.

● Reviews and approves quality control discrepancies as requested.

● Responsible for client invoicing and collecting payments in accordance with company policies and procedures.

● Proactively monitors intellievent orders to prevent errors and problem solves alongside internal teams for best

practices.

● Displays a high degree of confidentiality, professionalism, and emotional maturity at all times

● Participates in venue walk-throughs, and showrooms upon request

○ Seeks out operational needs: dock, venue contacts, hallway & doorway measurements, etc.

● Assist on special internal projects as requested by Upper Management

● Other duties as assigned by the department lead/manager.

● Travel requirements up to 50% to Nationwide; on-site presence up to 100% of local events.

● Ability to source on-site solutions, troubleshoot & seek out alternatives to any on-site challenges

QUALIFICATIONS:

At Minimum Training, Education & Experience

● GED or High School Diploma required

● AA or BS Degree highly preferred

● Fully business software literate (MS-Office Suite)

● Must be able to manage multiple concurrent tasks and priorities with accuracy

● Must have exceptional organizational skills

● Possesses exemplary written and verbal communication skills

● 4 years with previous administrative coordinator experience (related experience preferred)

● 2 years experience with operations & logistics of events.
