Location: Indianapolis Campus
Job Type: Full-time
Classification: N-4
Salary Range: $17.50-$20.00/hour (based on experience)
Reports To: Assistant Director, Course & Contracts Administration

About the Role:

This position provides coordination and comprehensive support in the management of the section building, supplemental pay request, and adjunct faculty contracts.

Major Responsibilities:

The following is not to be construed as an exhaustive list. Other duties logically associated with this position may be assigned. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.

  • Entering data into system for course sections (e.g., room and instructor assignments,consumable fees, etc..).

  • Coordinating with facilities scheduler to assign classes to rooms.

  • Generating faculty contracts.

  • Processing faculty substitution, extra pay, and course load sheets.

  • Responding timely to change requests from Deans, Department Chairs, and Program Chairs.

  • Monitoring status of courses and contracts to ensure they are completed in a timely manner, are in line with committed Service Level Agreement (SLA), and all processes are followed through to completion.

  • Following defined quality control procedures to proactively identify and resolve errors to minimize impact to faculty, staff, and students.

  • Generating and distributing reports to chairs as needed.

  • Providing exceptional customer service and advocacy to all in support of college, campus, programs, and student success.

  • Engaging in critical thinking to efficiently problem solve and resolve identified challenges/issues.

  • Promoting an engaging environment by engaging in behaviors that value and support everyone.

Education & Experience:

While formal education or certifications may be beneficial, or even required for certain positions, what we need are candidates who can demonstrate the practical skills and experience necessary to excel in this role. A proven track record of [specific experience or skill] will be prioritized.

  • Associate degree from a regionally accredited higher education institution.

  • Experience with Banner or other student information system.

  • Strong attention to detail.

  • Excellent oral and written communication skills.

Preferred Qualifications:

  • Three to five years of previous administrative support work experience.

  • Prior experience working in higher education.

  • Experience using various Google Suite and Microsoft Office tools/resources (e.g., Google Sheets, Excel, MS Forms).

  • Prior experiencing using Workday.
