Job description

Essential Job Functions
Security Program Administration & Governance
Serve as the administrative support of global security programs, ensuring accurate tracking, documentation, and follow-through.
  • Maintain and administer security program artifacts, including:
    • Policies, standards, and procedures
    • Post orders and site security requirements
    • Program charters, playbooks, and SOPs
    • Coordinate periodic reviews and updates of security documentation to ensure alignment with business needs and risk posture.
  • Support audit readiness by organizing evidence, records, and program documentation.

Vendor & Contract Support
  • Provide administrative support for security vendors, including guarding, alarm monitoring, access control, and technology providers.
  • Maintain centralized records for:
    • Approved security vendors
    • MSAs, SOWs, contracts, and expiration dates
    • Vendor performance documentation
  • Coordinate with Procurement, Legal, and Finance to support onboarding, renewals, and vendor compliance tracking.
  • Assist with vendor reporting, invoice validation support, and service issue tracking.

Data Management & Reporting
  • Maintain security-related data sets, dashboards, and trackers (e.g., site security profiles, vendor coverage, budgets).
  • Ensure data accuracy across systems such as spreadsheets, SharePoint, Power BI, or security platforms.
  • Produce recurring and ad hoc reports related to:
    • Security program status
    • Vendor coverage and gaps
    • Incident trends (administrative support)
  • Support leadership with briefing materials, metrics, and executive-ready summaries.

Cross-Functional Coordination
  • Act as a liaison between Global Security and internal partners including:
    • Facilities & Real Estate
    • IT & Cybersecurity
    • HR
    • Legal & Compliance
    • Finance & Procurement
  • Coordinate meetings, action items, and follow-ups related to global security initiatives.
  • Track and support global security projects, ensuring milestones and deliverables are documented and communicated.

Incident & Operations Support (Administrative)
  • Provide administrative support to incident management processes, including:
    • Case tracking
    • Documentation quality control
    • After-action reporting support
  • Assist GSOC or regional security teams with documentation, reporting, and data entry as required.
  • Support business continuity and crisis management documentation and readiness activities.

Access Control & Badging Program Support
  • Provide administrative and program support for global access control and badging systems across corporate offices, warehouses, and logistics facilities.
  • Maintain centralized records related to:
  • Badge issuance, deactivation, and role-based access requirements
  • Site-level access control standards and configurations
  • Access control vendors, platforms, and system documentation
  • Support coordination between Global Security, HR, IT, Facilities, and site leadership to ensure:
  • Timely onboarding and offboarding access changes
  • Alignment between employment status, job role, and physical access permissions
  • Assist with periodic access reviews and audits by:
  • Tracking completion status
  • Maintaining documentation and evidence
  • Supporting remediation tracking
  • Support development, maintenance, and distribution of:
  • Badging policies and standards
  • Site-specific access control procedures
  • User guidance and administrative SOPs
  • Track access control system coverage, gaps, and lifecycle

Transportation Security & GPS Program Support
  • Provide administrative and analytical support for transportation security programs, including GPS tracking, telematics, and cargo monitoring solutions.
  • Maintain program documentation related to:
  • GPS tracking standards and requirements
  • Vendor platforms, coverage areas, and service capabilities
  • Site and route eligibility criteria
  • Support vendor coordination by maintaining:
  • Approved provider lists
  • Contract and service documentation
  • Performance and coverage tracking data
  • Assist with tracking and reporting related to:
  • GPS adoption and utilization by region or business unit
  • Exception handling and escalation trends (administrative reporting tracking only)
  • Program compliance and coverage gaps
  • Support incident and loss-prevention efforts by:
  • Assisting with data collection and documentation
  • Supporting after-action reporting and program improvement tracking
  • Coordinate with Operations, Supply Chain, and Risk teams to ensure transportation security requirements are documented, communicated, and consistently applied.

Physical Requirements
  • Job may require extended sitting or standing, use of standard office equipment.
  • Talking, hearing, and using hands to operate computer equipment. Vision abilities required by this job include close vision and the ability to adjust focus.
  • May require travel to client and site locations to support implementation activities, including on-site presence during go-live periods.
  • Job will require presence at the assigned work location.

Education and Experience
  • Bachelor's degree in Criminal Justice, Security Management, Business Administration, or related field preferred (or equivalent experience).
  • 1-3 years of experience in corporate security, risk management, compliance, or program administration.
  • Strong experience with administrative program support, documentation management, and data tracking.
  • Advanced proficiency in Microsoft 365 (Excel, SharePoint, PowerPoint, Teams).
  • Demonstrated ability to manage multiple priorities across regions and time zones.

Preferred Qualifications
  • Experience supporting global or multi-region security programs.
  • Familiarity with security operations such as guarding, alarm monitoring, access control, or GSOC environments.
  • Experience working with vendors, contracts, or procurement processes.
  • Prior experience in logistics, manufacturing, or distributed-site environments.
