Job Title: Donor Database Specialist


FLSA Status:

Job Purpose: This position’s primary responsibility is to effectively maintain donors, volunteers, staff, and Board of Directors information in the Blackbaud Raiser’s Edge and Salesforce databases to prepare reports and communications.

The Donor Database Specialist will organize and manage the donor information system to broaden and deepen support from individuals, corporate partners, and national and community partnerships. Support the ability to identify and pursue substantial annual and capacity-building revenue goals through partnerships, sponsorships, and other engagement opportunities. Support the overall fundraising plan and work collaboratively with other staff members by reporting and analyzing data, gift processing and acknowledgments, managing data import and data entry, data extraction, data quality initiatives, and other related organizational fundraising activities.

Essential Functions

Systems and Database Management:

  • Manage all aspects of Raiser’s Edge database, including data integrity, updates, and corrections.
  • Maintain the overall quality and integrity of the Raisers Edge database, including working with Raisers Edge support staff to troubleshoot problems with the database and stay current with updates to the system.
  • Maintain highly accurate and current donor data that effectively track key information, cultivation activities and histories, and solicitation and reporting calendar.
  • Manage data connections and transfers between Raiser’s Edge, Salesforce, and other Girl Scouts of Central Texas (GSCTX) systems.
  • Create online donation and event registration forms within Raiser’s Edge.
  • Administer the Just Giving peer-to-peer fundraising platform and assist with troubleshooting and fundraiser support.
  • Manage vendor relationships related to GSCTX donor systems.
  • Lead and execute prospect research activities to support donor cultivation, solicitation, and stewardship activities with events; individuals, foundations, and corporate fundraising; online and direct mail outreach.
  • Work with the Grants Manager and Chief Development Officer to understand data needs, determine the best use of Raiser’s Edge features, and develop actionable insights to accomplish the fundraising goals of GSCTX.

Gift Entry, Acknowledgments, and Reconciliation:

  • Oversee gift entry processes with database contractor.
  • Produce timely acknowledgment letters and tax receipts.
  • Generate pledge reminders and invoices.
  • Manage the month-end process to ensure the smooth transfer of revenue data from GSCTX Finance to the database contractor.
  • Perform monthly and year-to-date reconciliation between Raiser’s Edge and GSCTX Finance data.
  • Support the end-of-year audit process with GSCTX Finance.

Reporting and Other Functions:

  • Produce queries, reports, wealth screening, and lists needed by Fund Development staff for mailings, events, monthly performance indicators, and moves management with.
  • Manage stewardship activities for entry-level gifts.
  • Work with Marketing and Communications team to support sharing of data and information related to campaign performance, events registration processes, and event website updates.
  • Work with Customer Care team to support Salesforce case management for the Fund Development department.
  • Administer and process troop sponsorship requests and various donor related forms.
  • Train staff on relevant database systems.
  • Additional duties or special projects as assigned.

Required Qualifications

  • One or more years of experience with Raisers Edge
  • One or more years’ experience and knowledge of Salesforce database
  • High-level proficiency in Microsoft Excel and Microsoft Word
  • Experience with reporting and data analytics
  • Ability to maintain the confidentiality of donor information
  • Effective oral and written communication skills
  • Demonstrated ability to meet deadlines, maintain data accuracy, work with minimal supervision, and take initiative in making decisions
  • Ability to make a commitment to the philosophy of Girl Scouts, both nationally and locally
  • Ability to effectively interact, work, and collaborate with individuals of various cultural backgrounds and promote an environment of inclusivity.
  • Ability to occasionally work evenings or weekend special events that may require travel
  • Annual membership in Girl Scouts of the USA
  • Satisfactory results from a criminal background check

Education

  • Bachelor's degree in a related field or equivalent of three to five years of related work experience

  • Ability to occasionally travel within the council jurisdiction
  • Work occasional nights and weekends, as needed to support council events
