POSTION TITLE: DEVELOPMENT ASSOCIATE  (PT - 24 hrs/week)

REPORTS TO: Chief Development Officer

SUPERVISES: N/A


POSITION SUMMARY:

The Development Associate plays a key role in strengthening Caracole's fundraising infrastructure and advancing donor engagement efforts. This position provides administrative, operational and coordination support to the Development Department while helping ensure consistent, high-quality donor stewardship.


By managing donor systems, stewardship activities and day-to-day development operations, the Development Associate enables Development staff, the CEO and board members to focus on high-impact donor relationships, fundraising strategy and major gift cultivation. This role also supports the identification, preparation and engagement of prospective major donors to help position the organization for sustained philanthropic growth.


RESPONSIBILITIES:

Development Operations & Administration

  • Provide comprehensive administrative and operational support for the Development Department, including donor database management, gift processing coordination, reporting, correspondence/gift acknowledgement, scheduling and task tracking. 
  • Maintain accurate records and ensure timely follow-up on fundraising activities, deadlines and donor communications. 
  • Improve development systems and workflows to increase accuracy, reliability and consistency across all private fundraising efforts. 

Donor Stewardship & Engagement

  • Execute consistent donor stewardship activities, including personalized donor updates, impact communications, meeting logistics and timely follow-up. 
  • Support donor education and engagement by connecting donors to organizational outcomes, advocacy priorities and community empowerment efforts. 
  • Help ensure donors receive meaningful, responsive and relationship-centered engagement. 

Major Gifts & Donor Pipeline Support

  • Maintain and advance a structured major and capacity donor pipeline, including donor qualification, cultivation tracking, solicitation support and stewardship coordination. 
  • Support CEO, Chief Development Officer and board donor engagement activities by preparing donor briefs, scheduling meetings, assembling materials and tracking next steps. 
  • Coordinate logistics and materials for donor meetings, campaigns, events, briefings and stewardship communications. 

Other

  • Stay informed about Caracole's mission, values and programs. 
  • Handle confidential and sensitive information with discretion. 
  • Participate in staff meetings and communicate relevant information with staff and volunteers. 
  • Complete other duties as assigned.

Requirements

QUALIFICATIONS:

Experience with donor databases, CRM systems or fundraising software is preferred. The ideal candidate is a resourceful, collaborative individual who values public service, authentic community engagement and has a respect for, or a connection to, the HIV+ and at-risk communities.

  • Strong organizational skills with high attention to detail/logistics and follow-through.

PHYSICAL REQUIREMENTS:

This is a part-time, hourly position that is primarily based in the office, with the possibility of limited remote work and occasional off-site events. The expected schedule is approximately 24 hours per week, worked on a consistent schedule during normal business hours. Exact schedule will be open to discussion during the interview.

Must operate a computer and other office productivity machinery, such as a phone and copy machine. Must have the ability to accurately communicate information and ideas so others will understand. Must be able to move throughout the building and other sites in the community. Must have reliable transportation to the office and other community sites as needed. The employee must be able to lift and/or move up to 25 pounds. 


SALARY:

This position is part time, hourly (non-exempt). The pay rate is $26-$27 per hour.
