This is a highly interactive role. You'll work directly with Project Managers, subcontractors, and vendors every day. Expect a fast-paced environment where staying ahead of the details really matters.

What We Offer
  • Company-paid employee medical coverage
  • 401(k) retirement plan
  • Generous vacation policy
  • A collaborative, team-first culture
  • Continued growth opportunities as we expand

Qualifications

  • 2–5 years of experience in construction billing, contract administration, or project accounting
  • Proficiency in Microsoft Office; experience with construction ERP software such as Procore and Sage 100
  • Strong organizational and multitasking abilities — you can prioritize without being told
  • Excellent attention to detail and accuracy
  • Effective communication and follow-up skills; comfortable working with subcontractors and vendors
  • Ability to work independently and as part of a team
What You'll Do

Project Billing

  • Coordinate receipt, review, and processing of subcontract pay applications, PO invoices, and back charges
  • Research and reconcile invoices that don't align with project budgets
  • Collect and maintain vendor compliance documents per project and billing cycle
  • Collaborate with vendors and Project Managers to investigate and resolve billing issues
  • Handle AP administration and reporting, including weekly funding to subs and vendors

Contract Administration

  • Set up vendor databases, terms, and related info upon subcontract and PO issuance
  • Enter subcontracts and POs into the ERP system per contract issuance docs
  • Maintain electronic files for all subcontract and PO documents by project
  • Prepare and transmit subcontract and PO docs to vendors and shepherd them through execution
  • Deliver contract peripherals (billing instructions, Notice to Proceed) upon execution
  • Enter budget adjustments, change orders, PO adds, credits, and chargebacks into the ERP

Project Tracking & Reporting

  • Monitor and update Contract Checklists to track progress of contract deliverables
  • Maintain the PM List — administrative follow-ups, action items, and progress notes
  • Keep T&M trackers, Allowance logs, and Back Charge logs current for assigned projects
  • Track Closeout Checklists for administrative deliverables and field compliance through final payment
  • Assist with investigative and creative project cost accounting reports
