SUMMARY

The General Affairs Sr. Specialist is responsible for managing workplace operations, facilities, safety compliance, insurance administration, and employee engagement programs across multiple office and warehouse locations. This role ensures a safe, efficient, and well-maintained work environment while supporting business operations, regulatory compliance, and company culture initiatives.

ESSENTIAL JOB FUNCTIONS

Insurance Administration

  • Manage corporate insurance programs, including:

    • General Liability (GL)

    • Umbrella Liability

    • Commercial Auto

    • Marine Cargo Insurance

  • Serve as the primary liaison with insurance brokers for policy renewals, endorsements, claims support, and general insurance-related matters.

  • Coordinate the request, tracking, and distribution of Certificates of Insurance (COIs) in response to internal and external business needs.

  • Maintain insurance policies, certificates, and related documentation to ensure accurate records and ongoing compliance.

Facilities & Office Management

  • Manage day-to-day facility operations for corporate offices and warehouses.

  • Coordinate office moves, furniture reconfiguration, and workspace planning.

  • Oversee repair and maintenance requests, including building systems, fire alarms, security alarms, and door access systems.

  • Support new office and store openings by coordinating facility-related activities.

  • Coordinate telecommunications and office infrastructure setup.

  • Conduct regular warehouse and facility inspections to ensure operational readiness.

Lease & Contract Administration

  • Manage lease agreements and maintain related documentation.

  • Administer temporary staffing agreements and related contracts.

  • Maintain organized records for General Affairs contracts and documentation.

Environmental Health & Safety (EHS)

  • Support Environmental Health & Safety (EHS) initiatives in partnership with the Risk Management team and corporate headquarters.

  • Assist in coordinating annual workplace safety inspections, emergency drills, and safety training programs.

  • Maintain EHS training records and regulatory documentation and IIPP records for all office locations and corporate-owned stores.

  • Ensure compliance with applicable workplace safety regulations and internal safety policies.

Employee Engagement & ESG Programs (Quarterly)

  • Plan and coordinate company events such as holiday celebrations, seasonal events, and employee engagement activities.

  • Develop and administer ESG social initiatives, including community service and volunteer programs.

  • Promote employee participation in corporate social responsibility activities.

Expatriate Support (As Needed)

  • Assist expatriate employees with relocation and settlement support.

  • Coordinate administrative services to facilitate successful onboarding and integration.

QUALIFICATIONS

  • Bachelor's degree in Business Administration or a related field preferred.

  • 5-7 years of experience in General Affairs, Office Administration, or a related corporate support function.

  • Bilingual proficiency in Korean and English (written and verbal) is required.

  • Experience coordinating facility operations, vendor management, office maintenance, lease administration, and corporate insurance programs.

  • Familiarity with workplace safety regulations and experience supporting EHS programs and IIPP compliance is preferred.

  • Experience supporting multi-site office, warehouse, or retail operations is preferred.

  • Strong organizational, project management, and problem-solving skills with the ability to manage multiple priorities.

  • Excellent communication and interpersonal skills with the ability to collaborate effectively across departments and external partners.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).

  • Ability to work independently, exercise sound judgment, and maintain a high level of confidentiality.

  • Physically capable of conducting inspections and carrying necessary equipment.

  • Ability to lift and carry up to 25 pounds.
