Rate: $32 - $70 per hour (dependent on experience, qualifications, and VA approval)
Position Overview
Kaleidoscope Supply Services supports the staffing of this position on behalf of a client company. If selected, you will be employed directly by the clientnot Kaleidoscope, the VA, or the federal government.
This role supports a Department of Veterans Affairs (VA) federal contract. You will work alongside VA teams to help deliver services that support veterans and the VAs mission.
About the Role
We are seeking a detail-oriented Medical Equipment Planner to join our Interior Design Section. In this role, you will plan and manage the full lifecycle of medical equipmentfrom initial planning and budgeting through procurement and activationfor major construction projects. Working under the Interior Design Section, you will serve as the bridge between clinical needs, architectural design, and infrastructure requirements to ensure projects are equipped with compliant, stateoftheart medical technology.
Key Responsibilities
  • Develop and manage medical equipment budgets; produce procurement packages and maintain a digital medical equipment resource library.
  • Ensure all equipment planning, selection, and installation activities comply with TJC, NFPA, FDA, NRC, AAMI, and VA standards.
  • Coordinate directly with Biomedical and Logistics teams to support asset tagging, warranty tracking, and required documentation.
  • Conduct value/cost analyses and provide "reuse vs. buy" recommendations to stakeholders.
  • Review and interpret architectural drawings, equipment schedules, and infrastructure layouts to identify gaps, overlaps, and utility conflicts.
  • Conduct inventory audits of existing equipment to assess suitability for reuse or relocation.
  • Provide training and education to end users on newly deployed medical equipment and technologies.
  • Coordinate with vendors to remain current on scientific advances, network protocols, and product changes.
  • Support equipment activation for major construction projects, ensuring timely delivery, installation, testing, and functional readiness.
Qualifications & Skills
  • In-depth knowledge of state-of-the-art medical equipment, including emerging technologies, vendor landscapes, and networked systems.
  • Demonstrated ability to draft precise equipment specifications and detailed Statements of Work (SOWs).
  • Ability to review and interpret architectural drawings, technical specifications, and infrastructure documentation.
  • Required proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with AutoCAD and Microsoft Project preferred.
  • Strong written and verbal communication skills for working with clinical users, Biomedical Engineering, Logistics, vendors, and project teams.
Contract Details
  • This position supports a federal nonpersonal services contract with the VA.
  • The anticipated contract term includes one base year with up to two optional renewal years, subject to funding, performance, and government needs.
  • As part of the federal approval process, the VA may review resumes and may request interviews.
  • Final placement and start date are contingent upon VA approval.
  • While Kaleidoscope Supply Services manages the staffing process, the employer of record will be the client company supporting the VA contract.
Compensation
  • Hourly pay: you are paid only for hours worked
  • No paid holidays (holiday pay is not reimbursed by the government for this role)
  • No paid time off (PTO) is included
  • Overtime is not permitted unless pre-approved by both the client and the VA
This compensation structure is standard for federal nonpersonal services contract positions.
Employment Requirements
Employment is contingent upon successful completion of required background checks, drug and alcohol screening, and onboarding or training. Personnel must comply with VA workplace conduct and appearance standards.
