Position Summary
The Membership Coordinator provides administrative and operational support to the Membership team to help support membership growth, member engagement, and overall Club operations. This position works closely with the Membership Director and other Club departments to assist with membership communication, events, reporting, and day-to-day administrative tasks.
This role pays an hourly rate of $22.00-$24.00
Benefits for Full-Time roles: Health, Dental and Vision Insurance, 401(k) Savings Plan, 401(k) matching, and Paid Time Off (vacation days, sick days, and 11 holidays).
This position will remain open until October 16, 2026.
About the Venue
In 2014, leaders from Baylor University and the Waco community came together to form a new private club for Baylor alumni and staff, as well as the general Waco professional, civic, and social community. Baylor Club is unique because it's one of the few private clubs in the nation located on a university campus. As a member of the Baylor University and Waco communities, Baylor Club is proud to be part of the rich heritage and tradition of Baylor University.
Responsibilities
  • Provide administrative support to the Membership team and assist with day-to-day membership operations.
  • Assist with membership events, open houses, tours, and promotional initiatives, including setup, check-in, RSVP tracking, and follow-up communication.
  • Maintain accurate member and prospect information within membership and CRM systems.
  • Assist with processing membership applications, onboarding materials, welcome communication, and member file organization.
  • Help prepare membership reports, sales tracking updates, and other administrative reporting as needed.
  • Coordinate scheduling for membership tours, meetings, and appointments.
  • Assist with updating social media platforms, website information, and membership marketing materials.
  • Assemble membership packets, promotional materials, and event collateral as needed.
  • Respond to member and prospect inquiries and provide a high level of customer service.
  • Support member engagement and referral initiatives as directed by Club leadership.
  • Work collaboratively with Membership, Member Experience, Concierge, and Accounting teams to support the overall member experience.
  • Attend and assist with Club events, including occasional evenings and weekends.
  • Assist with additional administrative and membership-related tasks as assigned.

Qualifications
  • 1-2 years of previous administrative, hospitality, customer service, or sales support experience preferred.
  • High school diploma or equivalent required; college coursework or degree preferred.
  • Strong organizational skills with attention to detail and ability to manage multiple tasks.
  • Excellent verbal and written communication skills.
  • Friendly, professional, and hospitality-focused attitude.
  • Proficient in Microsoft Office and familiar with Canva and social media platforms such as Facebook, Instagram, and LinkedIn.
  • Ability to work in a fast-paced team environment.
  • Comfortable learning new software and systems.
  • Experience with CRM or membership systems is a plus.
  • Availability to work occasional evenings, weekends, and Club events as needed.
