Job Title: Experienced Order Processing Employee

Job Location: West Chester PA

Reports To: Operations Manager

Job Summary:

Safe Circuits is seeking an experienced Order Processing Employee with at least 5 years of proven expertise in managing and processing customer orders in a fast-paced environment. The ideal candidate will have a strong understanding of order management systems, inventory coordination, and customer communication. In this role, you will oversee the end-to-end process of order fulfillment while ensuring operational efficiency and exceptional customer service.

Key Responsibilities:

  • Order Management: Accurately enter and process orders into the system, ensuring completeness and compliance with customer specifications. Validate product availability and prepare orders for timely fulfillment.
  • Inventory Coordination: Work closely with the inventory and warehouse teams to monitor stock levels, manage backorders, and ensure product availability. Help resolve any discrepancies between inventory and orders.
  • Customer Interaction: Proactively communicate with customers about order statuses, product availability, shipment tracking, and any potential delays or issues. Resolve customer concerns or complaints in a professional manner.
  • Advanced Order Troubleshooting: Address complex order issues or discrepancies (e.g., product substitutions, shipment errors, damaged goods) with minimal supervision. Use problem-solving skills to find effective solutions.
  • System Maintenance and Updates: Ensure that order management systems and customer databases are up-to-date. Perform regular audits to maintain data integrity.
  • Shipping & Documentation: Prepare and verify shipping labels, packing lists, and invoices for outgoing orders. Ensure all orders are dispatched according to deadlines and customer specifications.
  • Performance Monitoring and Reporting: Track order processing performance metrics and provide detailed reports to management, including order status, delivery timelines, and inventory levels.
  • Process Improvement: Suggest and implement improvements to enhance order processing efficiency and customer satisfaction. Share best practices with the team.
  • Team Collaboration: Collaborate effectively with sales, customer service, and logistics teams to streamline order processing, handle urgent requests, and ensure accurate order delivery.

Qualifications:

  • Education: High school diploma or equivalent; associate degree or relevant certification is a plus.
  • Experience: A minimum of 5 years of experience in order processing, logistics, or a similar role. Experience in [specific industry, if applicable] is a plus.
