Executive Assistant – (Medical Education & Physician Support)

Job Type: Full-Time, Direct-Hire (Permanent placement on company payroll with immediate full benefits; not a temporary job)

Location: Pittsburgh, PA 15213 (Hybrid – Oakland area; work-from-home flexibility available post-training; the role includes a mix of on-site and remote workdays. Specific schedules may vary by team or role.

Schedule: Monday – Friday, Day Shift (No evenings, weekends, or holidays!)

New Hire Starting Base Pay: $25.40 – $28.58 per hour (Starting pay based on experience, with clear advancement pathways as you build specialized expertise.)

Future Earning Potential: Established employees have the opportunity to earn progressive pay increases up to $43.85 per hour over time through performance, tenure, and continuous learning.

Mandatory Minimum Qualifications (Non-Negotiable)

  • Required Experience: Minimum 8 years of administrative support experience required, including at least 5 years of direct executive-level support in a healthcare setting.
  • Required Education: High school diploma or GED equivalent required; college degree preferred.
  • Technical Software Skills: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with a proven track record of managing complex executive calendars, scheduling executive travel, and drafting PowerPoint presentations.

  • Administrative Operations & Correspondence: Transcribe official correspondence, manage incoming and confidential mail, compile executive reports, and record/distribute meeting minutes in a timely manner.
  • Information Systems & Confidential File Management: Maintain highly organized and confidential electronic filing systems, handling sensitive academic and medical division records with strict discretion.
