Job description

The Junior School (K-8) Academic Services Coordinator oversees the creation, maintenance, and implementation of the K-5 and CMS master schedule and student enrollment processes. This role involves working primarily with the Junior School Administrative Team, but also closely with academic departments and administrators across the school, including Admissions, to ensure smooth transitions, class placements, and accurate records for all Junior School students, including coordinating the 8th/9th grade programming and transition process in collaboration with the Academy Key responsibilities include managing the K-8 Master Calendar, implementing schedules and grading periods in Blackbaud, and facilitating school events such as Back to School Nights, National Junior Honor Society, and 8th Grade Awards. Additionally, this role includes organizing ERB testing and coordinating the New to Punahou Orientation for parents and students. The Junior School (K-8) Scheduler & Registrar also plays a key role in K-8 communications and provides support to the administrative team. Essential job functions include but are not limited to:

Scheduler

  • Create and maintain the master schedule for all K-8 students and faculty.
  • Work with the Academy scheduler on the master school schedule with regard to shared facilities and faculty.
  • Maintain, input and implement the master school schedule in Blackbaud.
  • Create individual middle school student schedules for print.
  • Implement grade level transitions for parents and students.
  • Manage & maintain the K-8 Master Calendar.
  • Work with PFA on the New to Punahou Orientation.

Registrar

  • Enroll all Case Middle School students in their classes
  • Manage Google Forms & School Forms to obtain student scheduling information for grades 6-9.
  • Coordinate with Admissions the new to Punahou communication (K-8) and enrollment in classes (5-8).
  • Work with the Case Middle School Deans with student placement into teams and encore classes.
  • Coordinate communication with families regarding class and team placements K-8 (Welcome Packets).
  • Work with the 8th Grade Dean and the Academy deans to plan for parent meetings, communication around registration processes for both summer school and 9th grade classes
  • Coordinate with the language department student enrollment in their chosen languages.
  • Implement and manage grading periods in Blackbaud.

Additional Duties

  • Back to School Night coordinator (K-8)
  • ERB Test coordinator
  • Manage and implement K-8 communications to K-8 parents/guardians and students.
  • Coordinate and organize 8th Grade Awards Assembly.
  • National Junior Honor Society
  • Sub for CMS Administrative Assistants during absences.
  • Coordinate class t-shirt design and ordering in K-8
Position Details:
  • Months: 12 Months
  • School Year: 2026-2027
  • Work Hours: Monday-Friday, 7:30 AM - 4:00 PM, with occasional after hours/weekend work subject to operational needs
  • Minimum of Salary Range*: $70,100 - Compensation is commensurate with qualifications.

Pay for selected candidates will be determined by various factors such as knowledge, skills, abilities, relevant training and experience, and internal equity.


Minimum Qualifications:
  • Bachelor's Degree or equivalent combination of education, experience and training.
  • Five (5) years of administrative experience, preferably in a school or educational administrative setting involving scheduling, student information systems, or registrar duties.
  • Experience with analyzing and implementing improvements to business processes.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace (Docs, Sheets, Forms).
  • Proficient in FileMaker Pro.
  • Familiarity with student information systems and databases, particularly Blackbaud.
  • Experience with scheduling software and managing large-scale data inputs.
  • Uses technology as a tool to research, organize, evaluate and communicate information.
  • Strong written and verbal communication skills to effectively liaise with parents, students, faculty, and administrators.
  • Ability to manage sensitive information with discretion and professionalism.
