Position Summary
We are seeking an organized and dependable Administrative Assistant to support the company's CEO, administrative staff, and external team members.
This is an entry-level position with on-the-job training. The selected candidate will assist with scheduling, professional communications, document organization, prospect research, team coordination, client files, and general office responsibilities.
Security or legal experience is not required. We are looking for someone with basic computer skills, attention to detail, a professional attitude, and a willingness to learn.
Responsibilities
  • Assist with calendars, appointments, meetings, and reminders
  • Prepare and proofread emails, letters, spreadsheets, and other documents
  • Organize electronic files and confidential records
  • Assist with organizing legal documents for expert-witness matters
  • Research prospective clients, law firms, conferences, and speaking opportunities
  • Send approved introductory and follow-up emails
  • Maintain contact lists, spreadsheets, schedules, and task trackers
  • Assist with scheduling and gathering information from clients
  • Communicate with external and on-call team members regarding schedules, documents, training, and administrative requirements
  • Collect and organize documents submitted by team members
  • Help maintain team contact information, availability, and qualification records
  • Answer and direct telephone calls and emails professionally
  • Support the CEO, administrative staff, and external team members with assigned projects

Qualifications
  • High school diploma or GED
  • Strong written and verbal communication skills
  • Good spelling, grammar, and proofreading ability
  • Strong organizational skills and attention to detail
  • Ability to follow instructions and meet deadlines
  • Dependable, punctual, and professional
  • Comfortable handling confidential information

Computer Skills
