About the role

Measure Well is looking for an Executive Assistant to support the CEO directly, reporting to the Head of Operations. This is a 12-month initial contract with real potential to convert to a full-time permanent role based on performance and business need.

The CEO's calendar, the rhythm of leadership meetings, travel, expenses, vendor coordination, and the stakeholder map spanning funders, an Advisory Council, and a distributed leadership team: all of it lands here. You make sure the CEO walks into every meeting prepared, with a clear agenda, the right materials, and action items from the prior discussion already tracked. You spot the gaps before anyone asks.

For experienced EAs who want their work to matter beyond the calendar, this role is uncommon. What you'll own

Calendar and executive support

  • Manage the CEO's calendar end-to-end, including prioritization, scheduling, conflict resolution, and prep
  • Build and maintain the annual rhythm of business: leadership meetings, 1:1s, quarterly planning, funder reviews, Advisory Council
  • Ensure the CEO is prepared for every meeting with clear agendas, background materials, and tracked action items
  • Provide occasional support to two other senior leaders as needed

Operations and coordination

  • Partner with the CEO on day-to-day organizational operations
  • Prepare leadership meeting materials, notes, and action logs
  • Coordinate logistics for staff, leadership, and Advisory Council offsites, including meeting rooms, catering, and travel
  • Help plan team events and internal celebrations

Travel, expenses, and administration

  • Book and manage all CEO travel and conference logistics
  • Manage the CEO's expense reimbursement process for accuracy and timeliness
  • Process and track invoices, vendor payments, and reimbursements in partnership with Finance
  • Maintain organized records for expenses, invoices, contracts, and administrative documents

Communications and systems

  • Serve as a point of contact for internal and external stakeholders interacting with the CEO
  • Handle sensitive and confidential information with discretion
  • Maintain contact lists, distribution groups, and the shared knowledge base
  • Post updates to the Measure Well intranet and digital assets
  • Identify opportunities to reduce friction through better systems and AI-enabled workflows
What you bring
  • 5 or more years supporting a C-level executive, ideally in a fast-moving startup or mission-driven environment
  • Strong organizational skills and attention to detail, with the ability to manage competing priorities without dropping anything
  • Judgment and discretion with confidential information
  • Clear, professional written and verbal communication
  • Comfort in a fully remote, distributed-team environment, and the ability to align your schedule to Eastern Time
