Job description

Director of Purchasing amp; Operations Support
Reports To: Chief Operating Officer (COO)
Department: Operations/Business Office
FLSA Status: Exempt
Position Summary
The Director of Purchasing amp; Operations Support is responsible for overseeing the procurement of goods and services that support all school departments while providing operational and logistical support for campus-wide activities. This position manages purchasing processes, vendor relationships, facilities support, event logistics, maintenance software administration, and numerous operational functions that ensure the efficient day-to-day operation of the school.
The role requires exceptional organizational skills, financial stewardship, project coordination, vendor management, and the ability to support multiple departments simultaneously while maintaining excellent customer service.
Essential Duties and Responsibilities
Purchasing amp; Procurement
  • Manage all purchasing activities for school operations, ensuring cost-effective procurement and timely delivery.
  • Purchase and maintain inventory of office, classroom, custodial, hospitality, concessions, and campus supplies.
  • Prepare requests for proposals (RFPs), solicit vendor quotes, negotiate pricing, and issue purchase orders.
  • Establish and maintain strong vendor relationships.
  • Reconcile purchasing card transactions and maintain accurate financial documentation.
  • Coordinate procurement for:
    • Office furniture
    • Classroom furniture
    • Outdoor furnishings and fixtures
    • Window treatments
    • Medical and clinic supplies
    • Athletic equipment and supplies
    • Physical education equipment
    • Academic department equipment
    • Textbooks
    • Security equipment and signage
Operations amp; Facilities Support
  • Serve as administrator for the school's work order and event management software platform.
  • Manage user accounts, training, scheduling, troubleshooting, and system administration.
  • Coordinate campus work orders and monitor project completion.
  • Maintain event schedules and collaborate with multiple departments to avoid scheduling conflicts.
  • Produce and distribute weekly operational schedules.
Logistics amp; Event Coordination
  • Provide logistical support for campus events.
  • Coordinate equipment rentals, deliveries, transportation, and vendor scheduling.
  • Manage golf cart fleet scheduling and maintenance.
  • Coordinate delivery schedules for large shipments.
  • Oversee package distribution throughout campus.
  • Coordinate portable restroom rentals and event infrastructure.
Asset amp; Inventory Management
  • Maintain records of school-owned vehicles, titles, and annual registration renewals.
  • Coordinate maintenance of AED equipment, flags, signage, banners, and other campus assets.
  • Ensure campus operational supplies remain available and organized.
Vendor amp; Project Coordination
  • Serve as liaison between school administrators, vendors, contractors, athletic organizations, and campus departments.
  • Manage vendor communication from project planning through delivery and installation.
Campus Support
  • Assist with facility inspections and compliance scheduling.
  • Support campus logistics for special events and athletic programs.
  • Serve as school representative during approved film productions and campus location scouting.
  • Perform additional operational duties as assigned.
Qualifications
  • Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, or a related field preferred.
  • Five or more years of purchasing, procurement, operations, facilities, or project management experience.
  • Experience with purchasing systems, work order management software, and Microsoft Office.
  • Strong budgeting and financial management skills.
  • Experience negotiating with vendors and managing contracts preferred.

  • Ability to inspect deliveries and assist with distribution of materials.
  • Occasional evening or weekend work to support school events.
Work Environment
This position operates in both an office and campus environment. Responsibilities include frequent interaction with faculty, staff, administrators, vendors, contractors, and community partners. The position requires flexibility to respond to changing operational priorities and support school events throughout the year.
