Responsibilities
The Program Associate provides administrative support to the Experiential Learning and Employer Relations units in the Career Center and serves all Career Center stakeholders. Core functions include: facilitating guest relations for the Career Center's employer in -person and virtual spaces, coordinating logistics for events including the annual fall Part-Time Job Fair, workshops and tabling engagements, providing customer service to hiring organizations, students and alumni in their daily use of the NoleNetwork platform.
  • Facilitating Guest Relations: Serve as the main point of contact via in-person, email, mail and telephone communications, for off- and on-campus hiring organizations interested in promoting opportunities, including full-time jobs, part-time jobs, seasonal jobs, internships, leadership roles, research opportunities, volunteer, professional development opportunities, etc., to Florida State students and alumni. Ensure all stakeholders engaging with Career Center programs and services receive excellent customer service via phone, in person, and email interactions. Hire, train, and supervise student front desk assistants to support employers, student and alumni support operations. Escalate hiring organization concerns/issues to appropriate team members. Provide hiring employers, students and guests with logistical assistance including preparing physical spaces and ensuring quality customer service is delivered in all interactions.
  • NoleNetwork & Experiential Learning Agreements: Review submitted employer registrations and opportunity postings in NoleNetwork. Serves on Career Center's CSM Working Group to train, manage and leverage use of all tools and educate team members on NoleNetwork system changes/updates. Stay informed on all NoleNetwork system changes/updates completing ongoing training and informational sessions provided by the vendor. Audit part-time job postings annually to ensure compliance with state and federal minimum wage guidelines. Notify students and Career Center staff of reported fraudulent postings, guiding affected students through next steps. Collaborate with FSU ITS and FSU PD to update fraudulent/scam job posting webpage and internal reporting procedures annually. Liaise with the Procurement Services Office to complete required training and maintain knowledge of university processes to route non-monetary contracts through the centralized contract module for hiring organization required Memorandum of Understandings (MOUs) and Affiliation Agreements (AAs)
  • Administrative Support (Experiential Learning): Provides administrative support to Experiential Learning programs which provide services to both students and employers to include but not be limited to FSU Shadow, Intern FSU, DC Study Away Program, Mentor FSU.
  • Administrative Support (Employer Relations): Provides administrative support to Employer Relations programs which provide services to both students and employers, to include but not be limited to paid employer programs, employer events, Partner Program activities.
  • Events & Workshops: coordinate logistics and execution of the annual fall PartTime Job Fair. Provide administrative and clerical support to team members to support execution of workshops, tabling, networking events, and employer open house events to create new internship opportunities.
  • Serve on Career Center committees. Provide clerical support, contract backup, and assist with record tracking, including official Partner Program member's list, data compilation to fulfill Career Center data requests. Serve as back up for deposits, payment collection, and offer more than one method for employers to reconcile their bill.

Qualifications
High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years.
