Job description

Definition & Purpose
Under the supervision of the Assistant Director-Recreational Programs and Facility Operations, the Intermittent Frontline Services Assistant-PEAC is responsible for setting the tone for the member experience by maintaining a welcoming, inclusive, and non-judgmental environment in the PEAC.
Intermittent Frontline Services Assistants must behave with integrity while accurately and efficiently performing the functions of the job. The role is responsible for equipment check-out, equipment reservations, check-in for fitness class reservations, lost & found, towel service sales, towel exchange, towel laundry duties, sales transactions for various resale items, tracking and processing late & damaged equipment, and performing customer service functions at the PEAC. The Intermittent Frontline Assistant handles a high volume of customers and is expected to be a resource for recreational programs and have a comprehensive knowledge about the facility. As the face of the PEAC, the frontline staff is the information and access hub and the team's behavior, confidence, and professionalism set member's expectations for their experience with Recreational Sports and ASI Programs.
This position is based at the Cal Poly Maritime Academy on the Cal Poly Solano Campus in Vallejo, CA.
Requirements
Educational Requirements & Qualifying Experience
  • Excellent customer service skills, previous customer service experience preferred.
  • Experience with cash handling and accounting functions.

  • Ability to efficiently manage multiple tasks simultaneously.
  • Ability to stay focused while working in a high-volume, fast-paced environment.

  • Essential Duties & Responsibilities
Frontline Services
  • Manage front desk operations from open to close each day.
  • Maintain an efficient, clean, and organized workspace.
  • Maintain a welcoming and inclusive environment for members and coworkers.
  • Maintain knowledge of all programs and activities held in the facility.
  • Provide quality customer service and assist customers with fitness class check-ins.
  • Effectively communicate scheduling or facility changes to members.
  • Maintain knowledge of the ASI website, online registration processes, and monthly e-newsletter, providing member education, as necessary.
  • Anticipate member needs and provide relevant solutions or alternatives.
  • Ensure accurate document and information retention, security protocols, and data entry.
  • Provide positive public relations, program promotion, and policy education to staff and customers.
  • Act as an ambassador of PEAC and ASI programming related to tours, outreach, and events.
  • Effectively troubleshoot to find solutions to unexpected issues.
  • Handle confidential information according to ASI policies and procedures.
  • Provide support for special events as needed.
  • Communicate effectively using Teams and email.
  • Maintain an awareness of safety and risk management.
  • Attend staff meetings and trainings.
Membership Services
  • Sell memberships and day use access to the PEAC.
  • Sell and complete the registration process for members taking various classes.
  • Maintain Fusion member records and update information as needed.
  • Create new member Fusion records and registrations, and refer membership cancellations and refund requests to supervisor.
  • Assist members in completing required annual waiver of liability and other applicable forms.
  • Abide by established policies and guidelines regarding eligibility and access.
Pro Shop & Outdoor Rental Center
  • Responsible for the operation and daily opening and closing of the PEAC Pro Shop.
  • Process and handle sales transactions related to Pro Shop resale items (locks, swim goggles, etc.)
  • Monitor Pro Shop resale and lendable equipment inventory and restock.
  • Follow procedures for issuing equipment, including training patrons on equipment usage.
  • Follow Recreation Center towel service and laundry operation procedures.
  • Ensure lost and found items are documented and tracked appropriately.
  • Follow established procedures for cash handling functions.
  • Review daily communications and information in Communications Log.
  • Explain related policies and procedures to customers.
Other Duties & Responsibilities
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.
Background Check
Satisfactory completion of a background check (including a criminal records check) is required for employment. ASI will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current ASI employee who was conditionally offered the position.
Period of Employment
Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.
