The Front Desk Associate performs general office work in support of the Animal Services operations and will be the primary contact during open business hours. This position is critical in establishing positive relationships with the general public and delivering exceptional customer service by closely interacting with customers over the phone and through visitor reception. The Front Desk Associate must be able to work quickly and efficiently in a fast-paced environment completing duties such as message routing, documentation and retention, data entry, daily financials, and maintaining reception order and cleanliness. Additionally, the candidate must be detail-oriented, display strong computer skills, and possess an excellent work ethic. The Front Desk Associate will demonstrate a friendly and professional manner while interacting with community members, co-workers, and volunteers on a daily basis.

The work schedule for this position will be Tuesday - Saturday 9:00 AM โ€“ 6:00 PM.

A DAY IN THE LIFE:

  • Provide quality customer service while promoting the Hutchison Animal Shelter's mission, services, programs, and events to the public.
  • Performs receptionist duties to include greeting and assisting customers, answering, and returning phone calls, monitoring shelter email and fax, relaying messages to the appropriate parties, scheduling appointments, and responding to general inquires.
  • Input data into the shelter computerized record systems for purposes of maintaining files and records pertaining to intake, adoptions, medical records, lost/found animals, and miscellaneous.
  • Collect client fees, make change, process credit card transactions, assist in making count of cash drawer, and run end of day transactions and reporting.
  • Complete intake/outcome paperwork, adoption inquiries, complete adoption paperwork, processing and facilitation as needed; Ensure adoption paperwork and packets are proactively prepared and readily available for use.
  • Perform general office duties such as processing mail, scanning documents, assisting with public relations communications, cleaning/organizing the shelter lobby and desk area. Manage inventory of all administrative supplies and equipment.
  • Manage volunteer applications and entry into data systems and tracking spreadsheet. Manage owner surrender wait list spreadsheet. Write and mail all thank you cards for donations and log/manager memorial donations.

WHAT YOU'LL NEED FOR SUCCESS:

Education: High School diploma or GED equivalent is required.

Experience: Two or more years' experience in customer service in a veterinary practice, animal shelter, or similar field is preferred. Professional experience working with animals is a plus.

Certifications/License: Must possess a valid Kansas driver's license.
