The ideal candidate will thrive in a fast-paced environment, be adept at handling various administrative responsibilities, and excel at creating a welcoming and efficient experience for all patients.

Primary Responsibilities:

  • Welcome patients both in person and via phone, explaining available services, payment options, and billing processes.
  • Handle multiple phone lines, direct calls, take messages, and address inquiries, including calls from pharmacies, medical records, and medication authorizations.
  • Verify patient information and insurance eligibility, ensuring the collection of payments and copayments before appointments.
  • Assist patients with completing necessary forms and manage intake processes, prescription refills, and disability paperwork using the Electronic Health Record (EHR) system.
  • Communicate with healthcare providers regarding appointment cancellations, missed appointments, and rescheduling requests.
  • Coordinate new and follow-up patient appointments using the EHR system, ensuring an efficient flow of appointments.
  • Manage rescheduled or bumped appointments, contacting patients promptly to offer alternative scheduling options.
  • Handle general front-office tasks within a busy, patient-focused clinical environment.
  • Support patient flow in the office, balancing registration and appointment scheduling needs.
  • Maintain a clean and organized workspace, ensuring that the lobby and office areas remain presentable at all times.
  • Perform other duties as directed by the office manager or supervisor.

Qualifications:

  • A minimum of three years of experience in a medical or clinical setting.
  • Strong multitasking abilities in a fast-paced environment.
  • Excellent communication skills, with a warm and professional approach when interacting with both patients and staff.
  • Experience with EHR systems is highly preferred.
  • Completion of a medical office assistant training program is a plus.
