Position Summary

The Director of Booking reports directly to the SVP. The Director of Booking will be responsible for supporting the department in its efforts to bring the best-in-class concerts and family entertainment to the venue. In this role, the Director of Booking will assist in event development, event creation, booking calendar distribution and maintenance, communication of rental rates and policies, and maintaining ongoing communication with agents, managers, promoters, producers, and other key live entertainment personnel. The Director of Booking will use creativity in an outbound sales effort to solicit and create for the venue. 

This role pays a yearly salary of $150,000 - $170,000 and is bonus eligible.

This position will remain open until September 4, 2026.

About the Venue

The new Ryan Field will create a world-class home for Northwestern University Athletics and a best in the nation football experience for fans and players and be a year-round asset for the community.

Responsibilities
  • Manage the booking calendar, including sending availabilities in a timely manner, placing holds, and routine calendar clean-up and maintenance.
  • Manage booking for non-traditional content, including but not limited to family shows, special events, etc.
  • Establish and maintain excellent relationships with key industry personnel, including agents, promoters, managers, etc.
  • Communicates rental policies and procedures with prospective clients, including rental fees, expenses, labor rates, catering services, available equipment, etc.
  • Collaborate with other departments for ideation and execution of events in ancillary spaces, including outdoor plazas, stages, VIP areas, etc.
  • Prospect and develop new business opportunities.
  • Coordinates and maintains internal and corporate event requests.
  • Prepares, issues, and tracks event license agreements and insurance requirements and ensures fully executed copies are returned prior to events.
  • Assists with event settlement, as needed.
  • Facilitates the communication of pertinent event information with internal departments.
  • Collaborate with other departments for ideation and execution of world-class backstage experiences for artists and touring crews.
  • Develop and create talent offers.
  • Assist with attracting event sponsorships and grant opportunities for theater events.
  • Other duties as assigned.
Qualifications
  • 5-7+ years of related experience in the public assembly industry (theaters, stadiums, arenas, and/or convention centers). 
  • Bachelor's Degree in a related field. Relevant education and experience will be considered.
  • Strong computer skills, including Word, Excel, PowerPoint, and applicable standard applications.
  • Ability to demonstrate knowledge of the principles, practices, and terminology of the live entertainment industry.
  • Ability to demonstrate creative thinking in an outbound sales role.
  • Ability to develop and analyze financial pro formas for events based on historical performance and current market conditions and recommend appropriate actions/changes to meet business goals.
  • Ability to work with and maintain highly confidential information.
  • Experience with calendar booking software, including Prism, a plus.
  • Experience with Prism, Ticketmaster, and TMOne is a plus.
  • Minimal Travel (<20% travel): May be required to travel. Trips may require air travel and/or an overnight stay away from home for one or more nights.
  • Must be able to work a flexible schedule, inclusive of weekends, nights, and holidays as required.
