Job description

Major League Baseball is looking for a Hospitality & Catering Administrator in the Food & Beverage department to support the daily administrative, hospitality, and operational functions of the Food and Beverage department. This role assists with the coordination and execution of catering, concessions, dining services, team meals, hospitality functions, and special events throughout the property. The position provides key support in event logistics, staffing coordination, billing, invoicing, scheduling, sales tracking, inventory reporting, and guest communication to ensure efficient operations and to deliver a high-quality service experience across all Jackie Robinson Training Complex food and beverage outlets.
Responsibilities
  • Provide daily administrative support for the Food & Beverage department, including catering, concessions, dining services, hospitality functions, and special events
  • Maintain department records, operational documents, event notes, billing files, and other administrative tracking tools
  • Support the Manager, Food & Beverage, with department planning, reporting, communication, and follow-up items as needed
  • Coordinate and support hospitality and catering operations throughout the property, including team meals, catered events, game-day functions, VIP hospitality, concessions, and dining services
  • Assist with event logistics, including setups, breakdowns, service timelines, meal schedules, staffing assignments, equipment needs, and client expectations
  • Work closely with the Event Planning team and internal departments to ensure food and beverage needs are properly communicated, coordinated, and executed
  • Support both front-of-house and back-of-house operations to ensure service standards, organization, cleanliness, and operational efficiency are maintained
  • Monitor service areas to ensure guest needs, staffing levels, product availability, and presentation standards are being met
  • Assist with menu updates, pricing adjustments, product availability, and communication of operational changes to staff
  • Operate, update, and troubleshoot POS systems and hospitality software platforms
  • Process invoices, billing reconciliations, purchase tracking, and administrative documentation using hospitality software systems and manual tracking methods when necessary
  • Monitor and track daily sales activity while assisting with revenue projections, labor tracking, and operational reporting
  • Assist with inventory tracking, product ordering, receiving, and supply management to support food and beverage operations
  • Help ensure proper product storage, inventory controls, and cost management procedures are followed
  • Ensure compliance with department procedures, food safety standards, sanitation guidelines, cash handling procedures, and company policies
  • Assist with training and onboarding new Food & Beverage team members as needed
  • Model professional communication, strong customer service, and positive guest interaction when working with staff, clients, vendors, and guests
  • Perform additional responsibilities as assigned by the Manager, Food & Beverage or other leadership team members

Qualifications & Skills
  • High School diploma, GED, or equivalent required; Associate's or Bachelor's degree in Hospitality Management, Business Administration, Culinary Management, Event Management, or related field preferred
  • Minimum of two (2) years of hospitality, catering, food and beverage, restaurant, event operations, or administrative management experience required
  • Ability to manage multiple priorities, deadlines, events, and operational needs in a fast-paced hospitality environment
  • Strong problem-solving, critical thinking, and time management skills
  • Ability to work independently while collaborating effectively with Food & Beverage leadership, internal departments, staff, vendors, clients, and guests
  • Ability to stand, walk, bend, lift, carry, push, or pull items as needed while moving throughout kitchens, concessions locations, dining areas, event spaces, and outdoor venues
  • Flexibility to work irregular hours, including evenings, weekends, holidays, and event days as needed indoors and outdoors in varying weather conditions based on operational and event needs
  • Must be able to obtain and maintain a valid food handler certification
  • Must maintain professionalism, attention to detail, and strong customer service skills in a high-volume hospitality environment
