What is the difference between Freelancer Bookkeeping vs Bookkeeper?

AspectFreelancer BookkeepingBookkeeper
CredentialsOften no formal certification, but certifications like QuickBooks or Xero are commonTypically requires bookkeeping certifications or relevant experience
Work EnvironmentRemote, independent, project-basedCan be remote or in-office, employed by a company or client
Employer & Industry UsageFreelancers serve multiple clients across industriesEmployed by a single organization or client, industry-specific
Search & Comparison IntentLooking for independent bookkeeping services or freelance opportunitiesSeeking employed or in-house bookkeeping roles

Freelancer Bookkeeping involves independent professionals offering bookkeeping services to various clients, often remotely and on a project basis. In contrast, a Bookkeeper is typically employed by a single organization, with more structured roles. Both roles require similar skills and certifications, but their work environments and employment structures differ significantly.

What are some common challenges freelancers face when managing bookkeeping for multiple clients?

Freelance bookkeepers often juggle several clients at once, which can present challenges such as keeping track of varying deadlines, adapting to different accounting software, and understanding each client's unique processes. Effective time management and organization are essential to ensure accurate and timely financial records for each client. Additionally, clear communication is key to clarifying expectations and promptly resolving any discrepancies or questions about transactions.

What are freelancer bookkeepers?

Freelancer bookkeepers are self-employed professionals who manage financial records for clients on a contract or per-project basis. They are responsible for tasks such as recording transactions, reconciling accounts, managing invoices, and preparing basic financial reports. Unlike in-house bookkeepers, freelancers often work remotely and may serve multiple clients at once, offering flexibility in both scheduling and services. Their expertise helps small businesses and entrepreneurs keep accurate financial records without the need to hire a full-time employee.

What are the key skills and qualifications needed to thrive as a Freelancer Bookkeeper, and why are they important?

To thrive as a Freelancer Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and proficiency in bookkeeping practices, often supported by relevant education or certification such as a bookkeeping diploma or QuickBooks certification. Familiarity with accounting software like QuickBooks, Xero, or FreshBooks is essential for managing client records and financial data efficiently. Strong organizational skills, self-motivation, and excellent communication help freelancers maintain client relationships and manage multiple accounts independently. These abilities ensure accurate financial tracking, compliance, and client trust, which are critical for sustaining and growing a freelance bookkeeping business.

Job description

Hi! We are Manyone.
We're looking for an Office Manager to be the steady heartbeat of our Brooklyn studio - the person who keeps the space running beautifully, the team supported, and our clients impressed the moment they walk in. This is a part-time role (Tuesday, Wednesday, Thursday afternoons, 3-5 PM) with the flexibility to flex up around events, client presentations, and team moments that don't always fit inside a 3-to-5 window.
You'll work closely with our NYC leadership and collaborate across disciplines - designers, strategists, project managers, and visiting colleagues from our global offices. If you love the details, care about how a space feels, and get a kick out of making things run smoothly, this role is for you.
What You'll Do
Facilities & Office Space
  • Check supplies (coffee, paper, printer ink, pantry) and place weekly orders
  • Coordinate with building management on anything affecting day-to-day office life
  • Keep the studio client-ready - a tidy kitchen, a running dishwasher, a space that looks and feels cared for
  • Manage bike storage, commuter logistics, and guest access
  • Handle incoming mail and packages

Admin
  • Process invoices and receipts, and route them to accounting/bookkeeping

People & Culture
  • Coordinate team lunches, offsites, and social moments
  • Manage onboarding logistics for new hires and freelancers

IT & Equipment
  • Troubleshoot basic tech issues or coordinate with IT support
  • Keep printers and studio equipment in good shape

Scheduling & Coordination
  • Manage conference room bookings
  • Coordinate courier pickups and deliveries (samples, print proofs, swag)
  • Schedule building maintenance and vendor visits
  • Book flights and accommodation for the team's business travel

Vendors & Logistics
  • Manage relationships with local vendors (print shops, fabricators, catering)
  • Handle FedEx/UPS shipments and coordinate with the loading dock when needed
  • Prepare for client presentations - tech setup, catering, seating

Communications
  • Coordinate with freelancers on access, NDAs, and desk assignments

Events
  • Provide practical support before, during, and after studio events
  • Review event expenses and receipts
  • Source suppliers (catering, logistics, rentals)

What We're Looking For
  • Experience in office management, studio management, or a similar operations role - ideally in a creative, agency, or design-driven environment
  • A sharp eye for detail and a sense of hospitality - you notice when something's off and quietly fix it before anyone else does
  • Strong organizational skills and the ability to juggle vendors, deliveries, and small fires without losing your cool
  • Clear, warm communicator - comfortable working with colleagues, freelancers, vendors, and clients
  • Self-directed and reliable during the hours you're on-site, with flexibility to flex up around events
  • Based within a reasonable commute to Dumbo
  • Authorized to work in the U.S.

Plus Points
  • Using AI to experiment with task automation - if you've found clever ways to streamline repeatable work, we'd love to hear about it

What We Offer
  • A front-row seat in a studio doing ambitious, globally-minded design work
  • A tightly-knit team that genuinely enjoys working together
  • A beautiful studio space in Dumbo, Brooklyn
  • The chance to shape how our New York office runs as we continue to grow
  • Part-time schedule with predictable on-site afternoons (Tuesday, Wednesday, Thursday, 3-5 PM)
  • Flexibility to work additional hours around studio events
  • Hourly rate: $25 - $35 / hour, based on experience
