overview-what you do
The Accountant's primary responsibility is to efficiently and effectively support and execute day-to-day accounting operations in a way that meets or exceeds agency and client expectations. This role serves as a key contributor within the Finance/Accounting (Mission Control) team and partners closely with the Director, Finance & Operations to ensure accurate financial reporting, timely close processes, and well-maintained accounting operations.
This position requires a hands-on, detail-oriented professional who is independent, efficient, and comfortable operating in a fast-paced, project-based agency environment.
responsibilities-the stuff we trust you with
  • Independently supports day-to-day accounting operations in alignment with Circa's mission and core values
  • Supports the monthly close process in QuickBooks, including journal entries, account reconciliations, and bank reconciliations
  • Manages Accounts Payable by analyzing, coding, securing approvals for, and entering vendor and freelancer invoices in the accounting system and project management system
  • Processes and reviews corporate credit card activity, collecting documentation, allocating expenses accurately to projects and GL classifications, and clarifying as needed
  • Supports and backs up the Finance Director with client invoicing in QuickBooks
  • Assists in tracking and managing Circa renewals, including subscriptions, website hosting, and domain registrations
  • Maintains organized and accurate physical accounting files within the office
  • Gains working knowledge of Circa's project management platform (Workfront)
  • Monitors weekly Workfront time sheet submissions for staff and freelancers, sends reminders, follows up on outstanding submissions, and generates late time sheet reports
  • Assists with portions of month-end and year-end close as assigned
  • Maintains compliance and supports accuracy and efficiency in financial reporting
  • Participates in special projects or analysis as identified by Finance leadership
  • Keeps current on accounting best practices, tools, and industry trends
  • All other duties as assigned

Qualifications-what you bring to the table

  • BA or BS degree in accounting or related field (or equivalent experience)
  • 5+ years of relevant accounting, bookkeeping, or financial operations experience
  • Strong working knowledge of QuickBooks
  • Excellent analytical, organizational, and attention to detail skills
  • Strong communication, follow up, and interpersonal skills
  • Self-starter comfortable working independently and collaboratively
  • Ability to enforce processes while remaining open to creative solutions

We are headquartered in PA, and the majority of our workforce lives in the Eastern Standard time zone. We require that employees, wherever they may live, be available during East Coast business hours as their standard business day.
