Job description

The Facilities Coordinator serves as the on-site liaison for physical security execution and ESG data reporting at the Boise office, acting as the trusted local point of contact who ensures site-level processes stay aligned with standards set by the Global Facilities Manager. This role also provides backup reception coverage and general facilities support.

This role will be onsite in our Boise office 5x a week (Monday-Friday). You will be responsible for executing local physical security monitoring/auditing per established regional procedures, collecting and submitting Boise's ESG-related data to the global compiler, and serving as backup reception and facilities support.

Essential Duties & Responsibilities:

Physical Security

  • Own local physical security monitoring and auditing for the Boise office, specifically the S2/Lenel access control system and CCTV/camera system, per the cadence and standards set by the US Regional Security Lead

  • Conduct regular audits of the Lenel access control system: badge access lists, permission levels, door schedules, and access logs, flagging discrepancies or outdated access

  • Conduct regular CCTV system audits: verifying camera uptime/functionality, footage retention, and coverage of critical areas

  • Promptly identify, document, and escalate security anomalies, incidents, or system malfunctions (Lenel or CCTV) to the Regional Security Lead

  • Coordinate on-site with Lenel/access control and CCTV vendors for service visits, installs, and troubleshooting

  • Maintain accurate local logs and documentation needed to support regional/global security audits

ESG Data Coordination

  • Collect Boise-specific invoices and data (utilities, waste, water, and related sources) required for the global ESG report

  • Submit data to the global ESG compiler in the required format and on the required schedule

  • Serve as Boise's point of contact for ESG-related data requests or follow-up questions

Reception & General Facilities

  • Provide backup/rotational reception coverage, including greeting visitors, managing guest access, and handling deliveries

  • Support employee moves and general facilities work orders alongside the Moves & On-Site Maintenance Coordinator as workload requires

  • Follow all health, safety, and environmental (HSE) policies and procedures; report any condition that could result in injury or property damage

Qualifications:

  • High school diploma or equivalent required; associate's degree a plus

  • 2+ years of experience in facilities coordination, security administration, compliance/operations support, or a related field

  • Comfortable following structured checklists and standard operating procedures, and escalating appropriately - this role executes established processes rather than setting security or ESG policy

  • Familiarity with access control systems (S2/Lenel or similar) and CCTV/camera systems preferred; willingness to be trained on Boise's specific systems required

  • Detail-oriented and deadline-driven, with comfort pulling data from invoices/systems into spreadsheets or standard reporting formats

  • Strong communication skills; reliable and organized, as this role is a key local link to two teams outside the Boise office

  • Proficiency with Microsoft Office (Outlook, Excel, Word, SharePoint)

  • Ability to lift and carry up to 55 lbs

  • Ability to stand, walk, bend, kneel, and climb stairs/step-ladders as needed to perform security walkthroughs and facility inspections
