Job description

Deeplocal is looking for an Executive Producer who is passionate about creative excellence to deliver complex, highly technical experiential projects for some of the most loved brands in the world. This is a temporary position with the potential for future permanent opportunities.

While this position is responsible for the fiscal health of projects, and effectively managing and communicating with the Deeplocal team and our clients, we are looking for more than project management skills. The ideal candidate for this position wants to be a critical part of the creative process-by both empowering a multidisciplinary team to do brilliant work and by personally contributing and driving creative concepts and production execution decisions around those concepts. They are a leader and smart problem-solver who can break down, simplify, and solve complex problems. They see the hidden risks and account for them early on in a project.

Ideal applicants will come into the position with their own freelance and vendor relationships. Deeplocal has an in-house creative, technical, and production team, but we draw upon external specialists when necessary; Executive Producers are responsible for finding and contracting outstanding partners quickly.

This position is based in Pittsburgh, but we are open to remote candidates. Travel is required, as needed.

The Executive Producer is held accountable to the responsibilities listed below:

Client Communication

  • Production Meetings - Running client meetings during a production and bringing in appropriate leads as needed. 
  • Primary point of contact - Clearly communicate budget estimates, scopes of work, timelines, roles and responsibilities, and project status to clients; ensure that all of their requests are addressed quickly and responsibly.

Production: High-Level

  • Defining and Managing Deliverables - Work in tandem with Technical and Creative Leads to define project deliverables to be used in scopes of work. Vet deliverables with all stakeholders. Manage the creative and production process through execution. 
  • Developing Budgets - Partner with the Director of Technical Strategy to develop robust, complete budgets that will be used for project health tracking. Vet project budgets with team leads before submitting for stakeholder review and approval.
  • Project Scheduling and Timeline - Develop production schedules and staff plans that guide projects. Thoroughly understand creative concepts and executional strategies to create smart resourcing plans that lead to creative excellence and fiscal project health. Vet the schedule with stakeholders, and regularly communicate changes and updates to team members.
  • Creative, Technical, and Logistical Awareness - Understanding our team's creative, design, technical, and logistical challenges across mediums. Communicate project status, needs, and challenges to clients and internal leads to reach joint consensus on appropriate next steps. 
  • Project Team Oversight - Run team meetings (including detailed note taking), facilitate communication between team members, resolve disputes, and escalate issues when necessary. 

Production: Details

  • Writing SOWs - Write and present scopes of work, incremental project proposals, and change orders for client projects. 
  • Sourcing - Source necessary materials for productions where appropriate.
  • Project Health / Budget Management - Track team member hours and project hard costs, and report monthly to Finance and Director of Production. Manage external costs; reconcile project costs against budgets and work with Deeplocal's finance team to appropriately recognize revenue.
  • Vendor and Freelancer Management - Source and manage vendors and freelancers used for production. Ensure all vendors are under contract, and the proper procedure for contract negotiations is followed. Identify and vet outstanding freelancers and vendors on an on-going basis.
  • Team Support and Growth - Support the team emotionally and build morale by being present for all phases of the project. Provide leadership and guidance to production assistants and more junior producers to ensure client projects are well-organized, on brief, on time, and on budget, from kickoff through delivery. 

Qualifications

  • 5-10 years experience producing tangible, interactive experiences, exhibits, or spaces in a creative industry.
  • Experience producing tech-based live events is preferred.
  • Creative thinker & problem-solver - able to lead client and team meetings with confidence and clarity. 
  • Comfortable translating ambiguity into concrete project plans. 
  • Event production, budget management, and logistics experience is required.
  • Highly organized with exceptional communication skills and attention to detail.
  • Strong project management skills; ability to prioritize tasks while managing multiple priorities.
  • Comfortable working within tight deadlines and able to maintain composure when times get tough or priorities conflict.
