MercyOne operates two hospital-based skilled nursing units and a 40-bed nursing home.

Asa Foundation administrative assistantatMercyOne, you willsupport the Executive Director and staff in the promotion and execution of the management of the MercyOne Dubuque Foundation and the MercyOne Dyersville Foundation.Performs varied administrative support, officemanagementand project management for a successful Foundation office.Assistswith annual campaigns,special events, data entry, directmailingsand fundraising events.Provides administrative support to advance opportunities for the development, establishment and maintenance of comprehensive fund development programs in Dubuque, Dyersville, and affiliated sites and programsof MercyOne.Functions as the database manager for Blackbaud CRM and other software for both Dubuque and Dyersville Foundations ensuring donor data integrity, ensuring consistency and accuracy of the database.

Schedule:

  • Monday-Friday

  • 40 hours per week

General Requirements:

Adheres to the principles of caring and expected behaviors outlined in MercyOne Dubuque Medical Center's Model of Caring and Trinity Health's Code of Conduct, fostering a climate where all customers are treated in a manner consistent with MercyOne Medical Center's Mission and Values.

Maintains a working knowledge of applicable Federal,Stateand local laws and regulations, Trinity Health's Organizational Integrity Program, Standards of Conduct, as well as other policies and proceduresin order toensure adherence in a manner that reflects honest,ethicaland professional behavior.

Provides coordination and leadership for specialeventsannual giving, all fundraising events, direct mailcampaignsand other projects as needed.

Functions as Gala Systems Manager

  • Oversees overall set-up and management of guest registration,check-outand item pick-up at the gala.

  • Primary contact with Greater Giving (gala software company) and manages computers, printers and staff fora successfulregistration and check-out process.

  • Organizes and tracksprocureditems and creates all necessary forms needed for silent and live auction packages.

  • Assembles and enters all packages in both Greater Giving and Blackbaud CRM.

  • Trains volunteers toassistwith registration, check-out using Greater Giving.

  • Oversees entire check-in and check-out processes to ensure complete information for records and correct information for guests' receipts.

  • Manages all galaprocesses havingto do with bidding using Greater Giving/Blackbaud CRM.

  • Oversees processing of online credit card payment.

  • Creates and reviews gala analytics reports.

Coordinates Mercy School of Nursing Alumni database and records

  • Maintains and updates Mercy Nursing Alumni member list.

  • Coordinates mailing list for the annual nursing alumni Banquet/Fall Mailing.

  • Processes registration forbanquet,donationsand dinner reservations.

  • Assures registration fees (dinner,donationsand dues) are properly recorded in Blackbaud/CRM.

  • Createsappropriate reportsforAlumnigroup.

Manages mailing,reservationsand associated activities ofspecial events

a. Annual Colleague Campaign - manages donations and payroll deductions.

b.Grateful Patient Monthly Mailings.

c.Service Club Luncheons/Dinners, Donor Celebration, Distinguished Donor Reception.

7.In cooperation with the Executive Director,participatesin developing and implementing acomprehensive plan foridentifyingand broadening the base of philanthropy for MercyOne.

8.Maintains donor data integrity in Blackbaud CRM and ensures the consistency and accuracy ofthe database. Responsible for the following:

  • Database management, maintenance, standardization, protocols and education for both Dubuque and Dyersville Foundations.

  • Generates and ensures accuracy of lists for Foundation mailings.

  • Creates and manages dashboards on the Foundation's staff Blackbaud CRM home page.

  • Responsible for processing and recording gifts, generating gift acknowledgement letters and monthly pledge reminders letters for both Dubuque and Dyersville Foundations.

  • Assigns campaigns, funds,appealsand letter codes to each donation for both Dubuque and Dyersville Foundations.

Education:

  • Education:

    • High school diploma or GEDrequired.Degreefrom higher level education degree that requires a high school diploma or GED as a pre-requisite is alsopermitted.

    • Associate's degree or 2 years of college preferred.Experience may be substituted.

    Experience:

    • Experience and/or education in the health care field are highly desirable, specifically in fund development.

    • Bookkeeping or knowledge of accounting principles desirable. Knowledge of business terminology.

    • Experience with USPS bulk mailing policies and procedures helpful.

    Special Skills, Competencies, and Aptitudes:

    • Demonstratedproficiencyin using commonly used office equipment, computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint, GroupWise), HealthStream,Intranet,and use of reporting tools.Proficiencyin donor software, specifically the Blackbaud CRMDatabaseis desired.Experience in using Blackbaud software productsdesirable.Willingness to learn andmaintaincompetencyrequired.

    Certification/Licensure/Membership:

    • Valid driver's license and ability to meet hospital-driving requirements.

    • Child and Dependent Adult Abuse Mandatory Reporter Training isrequiredwithin 6 months of hire.
