Position Summary

The Regulatory Affairs and Product Compliance Specialist is responsible for ensuring that all products comply with applicable food regulations and labeling requirements across designated markets. This role oversees regulatory submissions, product registrations, labeling compliance, and documentation management to support successful product launches and ongoing regulatory adherence.

Responsabilités principales

Conformité réglementaire

  • S’assurer que tous les produits respectent les exigences réglementaires dans les marchés ciblés, incluant celles de l’ACIA, de l’USDA et d’autres organismes pertinents.
  • Interpréter et appliquer les lois alimentaires, réglementations et normes de l’industrie applicables.
  • Assurer une veille réglementaire et mettre à jour les procédures internes afin de maintenir la conformité.

Enregistrement des produits et autorisation de mise en marché

  • Préparer et soumettre la documentation réglementaire requise pour l’enregistrement de nouveaux produits auprès des organismes et plateformes pertinents (ex. : USDA, IREP, ASFC et portails clients).
  • Vérifier que tous les ingrédients, formulations et procédés de fabrication pour chaque UGS (SKU) respectent les exigences réglementaires des marchés visés.
  • Coordonner et obtenir toutes les approbations réglementaires nécessaires avant le lancement des produits.

Conformité de l’étiquetage

  • Utiliser des logiciels d’étiquetage alimentaire (ex. : Genesis, FoodLabelMaker…) afin d’assurer l’exactitude et la conformité réglementaire des listes d’ingrédients, tableaux de la valeur nutritive (TVN), déclarations d’allergènes et allégations produit.
  • Réviser et approuver les étiquettes et les visuels d’emballage dans tous les formats, incluant étiquettes, films imprimés, manchons, emballages internes et caisses d’expédition.
  • Vérifier que toutes les allégations marketing et produit sont justifiées et conformes aux réglementations et aux pratiques de fabrication applicables (ex. : « grillé à la flamme », « certifié humain », « fait à la main »).
  • S’assurer que les exigences linguistiques de l’emballage sont à jour et conformes pour tous les marchés concernés.
  • Générer les étiquettes d’expédition à l’aide de logiciels d’étiquetage (ex. : LabelView et LimiDraw).

Gestion de la documentation et des dossiers

  • Assurer le suivi et la tenue des dossiers relatifs aux soumissions réglementaires, aux approbations et aux certifications (ex. : USDA, IREP, ASFC).
  • Suivre et documenter les études de durée de vie des produits applicables.
  • Maintenir à jour les dossiers de spécifications des ingrédients et des épices afin d’assurer leur exactitude.
  • Gérer les dossiers de spécifications de production, en veillant à ce que les versions à jour soient accessibles et que les versions obsolètes soient archivées.

Regulatory Compliance

  • Ensure all products meet regulatory requirements in target markets, including CFIA, USDA, and other relevant agencies.
  • Interpret and apply applicable food laws, regulations, and industry standards.
  • Monitor regulatory changes and update internal procedures to maintain ongoing compliance.

Product Registration and Market Authorization

  • Prepare and submit regulatory documentation required for new product registrations through relevant agencies and platforms (e.g., USDA, IREP, CBSA, and client portals).
  • Verify that all ingredients, formulations, and processing methods for each SKU comply with regulatory requirements in the intended markets.
  • Coordinate and obtain all necessary regulatory approvals prior to product launch.

Labeling Compliance

  • Utilize food labeling software (e.g., Genesis, FoodLabelMaker...) to ensure accuracy and regulatory compliance of ingredient statements, Nutrition Facts Tables (NFTs), allergen declarations, and product claims.
  • Review and approve product labels and packaging artwork across all formats, including labels, printed film, sleeves, inners, and shipping cases.
  • Verify that all marketing and product claims are substantiated and compliant with applicable regulations and manufacturing practices (e.g., “Fire Grilled,” “Certified Humane,” “Hand Crafted”).
  • Ensure packaging language requirements are current and compliant for all applicable markets.
  • Generate shipping labels using labeling software (e.g., LabelView and LimiDraw).

Documentation and Record Management

  • Track and maintain records of regulatory submissions, approvals, and certifications (e.g., USDA, IREP, CBSA).
  • Monitor and document shelf-life studies for applicable products.
  • Maintain ingredient and spice specification folders to ensure all specifications are current and accurate.
  • Manage production specification records, ensuring current specifications are accessible while archiving outdated versions.
