Job Summary

The Front Desk Associate is the first point of contact for guests, providing general assistance, demonstrating and explaining Xclusive’s employment application and background check process, distributing payroll and company information, ensuring the branch is up to date with all labor and regulatory requirements, and ensuring a positive experience for all interactions. The ideal candidate should have excellent communication skills (bi-lingual in English and Spanish), attention to detail, and a welcoming demeanor who works well independently. The Front Desk Associate reports to the District Manager as part of the National Service team.

Requirements:

Essential Job Functions - % of Time Spent - 50%

  • Branch Operations and Guest Services
  • Greets all Team Members, customers, clients, and applicants with excellent customer service
  • Answers the phone in a professional and courteous manner
  • Listens and responds to voicemails several times a day
  • Handles the intake of applicants and conducts pre-screening process
  • Processes applications in accordance with all local, state and federal laws
  • Verify documents meet required compliance of all federal I-9 requirements
  • Processes criminal history check and communicates results to applicant
  • Provides inquiry support for both internal and external customers/Team Members
  • Supplies and inventories uniforms to management and/or Team Members, as needed
  • Coordinates assembly of new hire packets and forms
  • Manages accuracy of interoffice mail to corporate office
  • Verifies compliance of labor and regulatory posters/notices
  • Ensures the reception area, meeting room, and kitchen are presentable and organized
  • Ensures Team Members offered their paychecks weekly
  • Performs administrative payroll functions: check accuracy, adding required communications to check envelopes, releases checks to management, distribution, filing of payroll reports/records
  • Reviews all paycheck pick-up authorizations while adhering to the policies of the Company
  • Assist Team Members with lost, stolen, damaged, or expired checks
  • Manages deduction requirements for uniforms, meal vouchers. with timely submittal
  • Promotes Team Member recognition, as assigned by District/Regional Manager: printing gift cards, purchasing/arranging food, tracking/distributing prizes, etc.
  • Responsible for daily office housekeeping duties
  • Confidentially assists with monthly, quarterly, and annual audits (internal and external)
  • Cultural leadership and participation

Recruiting: - % of Time Spent - 50%

  • Lead recruiting efforts to drive applicants to the branch (community engagement, job fairs, mass transportation arrangements for hiring/out of branch application sprints, local advertising, referrals, references, etc.)
  • Place, train, and set expectations with external Team Members including background checks, compliant document reviews, and other new hire paperwork completed prior to working
  • Manage the reliability of all placements (external) for customer 
  • Directly supports and contributes to the Company’s mission to make a positive impact in the lives of the individuals we serve, by modeling our company’s core values
  • Comply with employment laws, regulations and guidelines as set forth by FLSA, FMLA, ADA, HIPPA, and other governing agencies.
  • Promotes and adheres to all occupational safety and health standards as required by OSHA, company policies, and other applicable regulatory agencies to ensure a safe and compliant work environment

Required Abilities, Requirements, and Qualifications

  • Bilingual English and Spanish
  • 1+ years of experience in related field required or similar role
  • Proficient in Microsoft Office (365-PC), FedEx Online, and phone systems
  • Hold a valid drivers’ license and have reliable transportation to commute to job site(s)/location(s)
  • Adaptable to learn new software platforms and systems
  • Applicants must be legally eligible to work in the United States and must not require current or future visa sponsorship
  • High School diploma required
  • Experience in Adobe Suite, DocuSign, and Microsoft Dynamics CRM is a plus

While performing the duties of this job must have the:
