Job description

Our client is seeking a detail-oriented Legal Secretary to support the Office of Administrative Hearings (OAH). This position works closely with investigators, attorneys, respondents, court reporters, Administrative Law Judges (ALJs), and administrative staff to provide legal and administrative support throughout the hearing process.
Position Summary
The Legal Secretary will assist with case preparation, legal document management, scheduling, legal research, and administrative support activities. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.
Responsibilities
  • Prepare correspondence and all relevant case materials for hearings.
  • Assist in the preparation of cases for hearings by coordinating and completing a variety of legal and administrative activities.
  • Draft legal documents and prepare supporting materials for attorney and investigator review.
  • Organize and maintain case files, exhibits, and hearing records.
  • Prepare subpoenas and coordinate service of legal documents.
  • Arrange for the filing of legal memoranda and other legal documents.
  • Provide attorneys with resources, research, and supporting materials for hearings.
  • Conduct legal research, analyze findings, and prepare written and verbal summaries.
  • Maintain case management databases, tracking systems, calendars, and hearing schedules.
  • Monitor case statuses, deadlines, docket activity, and final decisions.
  • Coordinate hearing schedules with attorneys, investigators, respondents, court reporters, and other parties.
  • Assist Administrative Law Judges with confidential legal and administrative matters.
  • Maintain accurate records and ensure all case documentation is properly organized and accessible.
  • Perform additional duties as assigned.
Qualifications
  • Experience providing legal administrative support in a law office, government agency, court system, or related legal environment.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Experience preparing legal correspondence, subpoenas, pleadings, memoranda, and other legal documents.
  • Knowledge of legal terminology, court procedures, and legal filing requirements.
  • Experience maintaining case files, calendars, and case tracking systems.
  • Strong research, analytical, written, and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and related database systems.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
Preferred Qualifications
  • Experience supporting administrative hearings, litigation, regulatory matters, or government legal proceedings.
  • Paralegal, legal secretary, or related legal support experience.
  • Familiarity with case management systems and electronic filing processes.
  • Experience working with Administrative Law Judges, hearing officers, or administrative agencies.
