Job description

Roland Machinery Company is a family-owned company established in 1958 and is one of the Mid-West’s leading heavy equipment dealers representing more than twenty-five outstanding manufacturers of construction, municipal, industrial and forestry equipment; expanding across 5 states and 17 locations.

Job Overview

The Rental Coordinator is responsible for the day-to-day administration and coordination of all rental equipment activity within the assigned division. The role owns rental contract execution, equipment dispatch and return, fleet status accuracy, meter and utilization tracking, customer documentation, and direct support of the sales team

Key Job Responsibilities
  • Acts as the primary point of contact for any and all internal & external rental customers,
  • Opens, modifies, extends, and closes rental contracts.
  • Schedules delivery, pick-up, and inter-branch transfers of rental equipment
  • Prepares and processes all rental paperwork
  • Maintains accurate equipment status in OS
  • Captures and reconciles starting and ending meter readings
  • Reviews rental returns daily for damage, missing components
  • Monitors loaners and demos against company policy
  • Tracks Rental Purchase Option (RPO) commitments and conversion eligibility
  • Supports the sales team in locating rental units across the division
  • Prepares routine rental reporting (open contracts, returns pending, COI exceptions, RE-status aging, overage hours) for VP of Sales and Sales Manager review.
  • Requires regular and punctual employee attendance.
  • Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards.


Qualifications / Requirements
  • High school or equivalent. College diploma preferred, or 2 years relevant experience in the Construction Equipment , or Construction Equipment Rental Industry
  • Current familiarity or ability to learn and develop strong knowledge of features and benefits of all OEM equipment carried by Roland Machinery Company
  • Excellent oral and written communication skills.
  • A team player able to professionally work with customers, vendors, peers, and co-workers, with the ability to develop strong, long-term relationships.
  • Maintains excellent customer relations and a courteous business manner; able to deal with customer objections professionally in a relationship-heavy atmosphere.
  • Ability to interact with tact and courtesy and maintain a professional manner.
  • Exceptional organizational, time management, and multi-tasking skills. Frequently works at a fast pace with unscheduled interruptions.
  • Ability to work independently without daily direct supervision and with a strong sense of urgency.
  • Advanced MS Office Suite skills with Excel, PowerPoint, and Word.
  • Some minor travel (<5%) may be required
  • Physical Requirements: While performing the duties of this job, the associate is required to have ordinary ambulatory skills sufficient to visit other locations and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights.
