Southwest District Health (SWDH) is recruiting for a part-time Office Specialist II (Operations Support Specialist) to join the dedicated group of public health professionals in the Division of District Operations.

As an Operations Support Specialist and public health employee, you will play an active role in improving the health and wellness of your community and play a key role in keeping District Operations running smoothly. You will support the purchasing, receiving, and distribution of supplies, equipment, materials, and services; coordinate fleet vehicle activities; and provide friendly, responsive customer service to staff and community members. This position also manages incoming and outgoing mail and shipping activities, coordinates daily bank deposits, and ensures materials and information reach the appropriate staff. Through strong organization, attention to detail, and a customer-focused approach, you will help support the day-to-day operations that make our work possible.

For a part-time Operations Support Specialist, the base pay range of $18.62 - $21.90/hour grows to an estimated total compensation value of $28.96 - $32.96/hour when benefits are included, showcasing our commitment to your well-being and professional growth.
Typical Duties:
Candidates must be able to complete the essential job functions with or without reasonable accommodation and meet all the mandatory qualifications of the position.
  • Serve as the primary point of contact for the public, staff, healthcare partners, and community stakeholders by professionally answering, screening, and directing incoming calls and inquiries.
  • Coordinate incoming and outgoing mail operations, including sorting, distributing, preparing mailings, maintaining postage equipment, and ensuring timely delivery and pickup.
  • Provide exceptional customer service by responding to requests for information regarding Southwest District Health programs, services, facility locations, and departmental contacts.
  • Facilitate daily administrative support functions, including transporting high-priority mail and district deposits, while ensuring accuracy, security, and timeliness.
  • Administer fleet management activities for district vehicles, including mileage tracking, maintenance scheduling, vehicle reservations, and coordination with service vendors.
  • Monitor fleet utilization and maintenance needs by maintaining vehicle records, tracking service intervals, and resolving vehicle-related concerns reported by staff.
  • Manage fleet resources by maintaining fuel cards, vehicle supplies, and operational readiness to ensure staff have reliable transportation for district business.
  • Coordinate receiving functions, including processing shipments, verifying deliveries against packing slips, maintaining inventory levels, and supporting procurement activities.
  • Prepare and distribute routine operational reports to support organizational planning, accountability, and resource management.

Minimum Qualifications:
You must possess all the minimum qualifications listed below to qualify for this position. All required experience and/or education must be listed under the work history section of this application OR on your resume and must include a detailed explanation of your roles and responsibilities at each relevant employer.
Minimum Qualifications (MQ):
  • Approximately 2-4 years of experience or equivalent education in rules of effective business English usage, spelling, punctuation, and grammar.
  • Approximately 1-2 years of related work experience in the following areas:
    - Using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving
    - Reviewing documents for compliance with established procedures
    - Using a computer to enter and retrieve information
    - Answering a business telephone using knowledge of business telephone procedures and etiquette

MQ Specialty:
  • Valid Driver's License
  • Approximately 1-2 years of related work experience in the following areas:
    - Operating a 10-key
    - Using basic math skills
    - Using Microsoft Word to create mass mailings and documents using columns and tables
    - Using Microsoft Excel to create formulas and employing build-in calculation functions to perform complex financial, statistical or analytical calculations
    - Using Microsoft Access to create, format, edit, sort, filter, print, and store data in pre-designed tables

Ideal Knowledge, Skill, and Abilities:
  • Excellent customer service skills
  • Some working knowledge of finance processes
  • Ability to work in a team environment

Supplemental Information:
This position is not covered by Social Security. Employees do not pay Social Security taxes and will not earn credits toward Social Security retirement, disability, or survivor benefits based on earnings from this job. However, Medicare taxes will still be withheld, and these earnings will count toward Medicare eligibility.
