Job Summary

Responsible for supporting the FRP team (firm-wide). Will provide assistance with day-to-day administrative duties, internal file coordination, meeting coordination, project support, responding to general requests for information from audit teams. Position will also be responsible for tracking and uploading financial report packages to governmental entities, as well as assisting the audit teams with completion of the Data Collection Form.

Fixed Term Staff Members are those who are hired on an interim or contract basis to provide additional client service on a defined special project or assignment in a specialized area of expertise (e.g., temporary financial staffing) on an as-needed basis. Employment assignments in this category are intended to be of a limited duration. Employment beyond any initially stated period does not, in any way, imply a change in employment status. Fixed term staff members retain that status until notified in writing of a change. While fixed term staff members receive all legally mandated benefits (such as Social Security and workers' compensation insurance), along with the option to enroll in a defined medical plan as outlined in their employment agreement, they are ineligible to participate in all other Firm benefit programs.

Position Responsibilities

  • Responsible for supporting the FRP team (firm-wide). Will provide assistance with day-to-day administrative duties, internal file coordination, meeting coordination, project support, responding to general requests for information from audit teams.

  • Position will also be responsible for tracking and uploading financial report packages to governmental entities, as well as assisting the audit teams with completion of the Data Collection Form.

  • Provide administrative support for FRP team

  • Upload various reporting packages to governmental entities, including but not limited to:

  • Michigan K-12 school reporting packages to the Michigan Department of Education

  • Michigan municipal reporting packages to the Michigan Department of Treasury

  • Upload, certify and submit single audit reporting packages to the Federal Audit Clearinghouse

  • Daily tracking of report package status and reporting to FRP leadership and audit teams

  • Administrate the FRP online platforms, including Yammer, Knowledge Share page and Teams sites

  • Coordinate various training sessions/team meetings as requested

  • Assist with various projects as needed

  • Assist in the Print room as needed

  • Other duties as assigned.

  • Ability to manage multiple projects simultaneously; demonstrate effective time management skills by completing assignments within calendar schedules

  • Proven administrative, organizational, and time management skills

  • Superior oral and written communication skills and a focus on client service, together with the ability to exercise independent judgment, initiative while maintaining high confidentiality

  • Solid technical proficiency including knowledge of MS Office applications (particularly Word, Excel, and Outlook), Visio, and Microsoft Project

  • Professional demeanor with excellent customer service and interpersonal skills

  • Ability to work well with others

  • Ability to communicate effectively with partners, staff, and visitors

  • Superior data entry and alpha/numeric skills

  • Minimum 1-3+ years experience as an administrative assistant.

  • Professional services firm experience is a plus

  • MS Office experience required (MOS certified a plus)

  • Ability to work overtime, and weekends is required

  • Must be able to remain in a stationary sitting position for at least 75% of the time.

  • Must be able to lift at least 15 lbs- specific job duties may require additional lifting to move, transport, position and install equipment.

  • Frequently positions self to bend and lift packages.

  • Occasional moving & lifting of equipment; bending, lifting, climbing required to position self to maintain computers during engagements.

  • Person in position needs to occasionally move about the inside of the office to access machinery, cabinets, etc.

  • Person in position frequently communicates with individuals who have inquires. Must be able to exchange information in these situations.

  • Ability to work in a high stress environment.

  • Reliable transportation and valid driver's license are required including a clean driving record.

  • Minimum levels of auto insurance coverage are required.

  • Ability to travel locally, work overtime and weekends is required.

  • Ability to travel overnight or internationally may be required.

  • Associate's Degree in Business Administration, Communications or other related business field is required

This is a non-exempt position that could be on a part-time basis based on a candidate's flexibility. Expected schedule would be between 20 hours minimum or hours that exceed the standard 40-hour work week.
