Accounting Assistant

Position Summary

JFS at Home, a trusted nonprofit provider of private-duty home care services, is seeking a detail-oriented and motivated Accounting Assistant to support the financial, billing, payroll, reporting, and compliance functions of the organization.

The Accounting Assistant plays a key role in maintaining accurate financial records, processing payroll and billing activities, supporting grant and insurance reporting requirements, and ensuring data integrity across multiple systems. This position works collaboratively with Finance, Operations, Scheduling, Human Resources, and Business Development teams to support organizational goals, regulatory compliance, and operational efficiency.


Essential Duties and Responsibilities

Payroll Administration

  • Verify caregiver and staff hours, mileage, pay rates, and other payroll-related information.
  • Prepare and submit bi-weekly payroll data to the agency's payroll provider.
  • Review payroll reports for accuracy and coordinate corrections as needed.
  • Maintain payroll-related documentation and records in compliance with agency policies.

Billing and Revenue Cycle Support

  • Review invoices for accurate rates, service codes, authorizations, and supporting documentation.
  • Submit invoices and claims to referral sources, long-term care insurance companies, and other payers.
  • Generate reports supporting billing accuracy, reimbursement tracking, and revenue cycle management.
  • Reconcile payments received and investigate billing and payment discrepancies.
  • Collaborate with internal departments and payers to resolve billing issues and outstanding receivables.

Grant Reporting and Compliance

  • Track and update client type and payer sources in MatrixCare for JFS-funded programs and clients with long-term care insurance.
  • Collect, compile, and analyze client, financial, and operational data required by funders and payers.
  • Prepare accurate and timely grant, payer, insurance, and referral source reports.
  • Monitor reporting deadlines and maintain compliance with grant, contract, and documentation requirements.
  • Assist with audits, accreditation reviews, and regulatory surveys.

Accounting and Financial Support

  • Enter financial transactions into accounting software, including Financial Edge and other agency systems.
  • Assist with accounts payable, accounts receivable, deposits, and general accounting activities.
  • Maintain accurate financial records and supporting documentation.
  • Assist with reconciliations and month-end reporting processes.
  • Support the Financial Controller with financial reporting and special projects.

Data Management and Reporting

  • Maintain databases, spreadsheets, and reporting systems to ensure data accuracy and completeness.
  • Perform routine audits to identify and correct data discrepancies.
  • Assist leadership with data analysis and special reporting requests.

Administrative Support

  • Purchase office supplies and assist with administrative tasks that support agency operations.
  • Maintain organized and confidential financial, payroll, and client records in accordance with HIPAA and agency policies.
  • Collaborate with Finance, Operations, Scheduling, Human Resources, and Business Development teams to ensure accurate reporting and efficient processes.
  • Attend meetings and provide reporting updates as requested.
  • Assist the Financial Controller and CEO with additional duties and special projects as assigned.

Qualifications

Education

  • Associate's degree in Accounting, Finance, Business Administration, or related field required.
  • Bachelor's degree preferred.

Experience

  • One to three years of accounting, bookkeeping, payroll, billing, or financial reporting experience preferred.
  • Healthcare, home care, home health, insurance, or nonprofit experience strongly preferred.
  • Experience with grant reporting or contract compliance reporting is a plus.

Technical Skills

  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Experience with Financial Edge, MatrixCare, payroll systems, or similar accounting and healthcare software preferred.
  • Ability to create reports, analyze data, and maintain accurate financial records.

  • Strong understanding of basic accounting and bookkeeping principles.
