About This Role

An independent financial advisory practice affiliated with an independent broker-dealer is seeking a Financial Advisor Assistant to support with day-to-day client service and office operations. We exist to help our clients build toward a retirement free from money worry — and we care just as much about helping the people on our team build real careers along the way. This is an in-person, client-facing role based in our Irvine office, best suited to someone who brings genuine optimism to their work, values steady, consistent effort that compounds over time, adapts without giving up on the goal, and takes real pride in doing right by the people they serve. Fluency in Mandarin is required, as we serve a significant Mandarin-speaking client base.

In This Role You Will

• Serve as a point of contact for clients via phone, email, and in person — in both English and Mandarin

• Schedule and prepare for client and prospect meetings, including agendas and follow-up materials

• Process new account paperwork, transfers, beneficiary updates, and other account servicing forms

• Maintain and update client records in the CRM, keeping contact information, notes, and workflows current

• Prepare client review packets and correspondence ahead of meetings

• Coordinate with the broker-dealer and custodian on account servicing requests

• Support client onboarding, filing, and recordkeeping to meet firm and broker-dealer compliance requirements

• Assist with marketing efforts and client events

• Perform other duties and tasks as assigned by the Financial Advisor

Required Qualifications

• 1+ year of office administrative or client service experience

• Intermediate Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills

Desired Qualifications

• Financial services industry experience — banking, wealth management, insurance, or similar

Job Expectations

• Employment is contingent upon successful completion of a background check, required by our broker-dealer, conducted after a conditional offer of employment

• This role is also subject to our broker-dealer’s ongoing regulatory requirements, including but not limited to periodic screening.

• This position is not eligible for visa sponsorship
