The Role: Operational Heartbeat

As the Administrative Assistant, you are the first point of contact for our clients. This role requires independent decision-making, critical thinking, and a pride in precision.

Key Responsibilities:

  • Client Experience: Answer/route calls, greet clients, manage welcome packets, and coordinate client "touches" (birthday/anniversary cards).

  • Scheduling: Manage staff calendars, coordinate virtual/in-person meeting logistics, and ensure no follow-ups fall through the cracks.

  • Systems Management: Maintain CRM data, create templates/workflows, and document Standard Operating Procedures (SOPs).

  • Office Operations: Maintain filing systems, track supply needs, and support leadership with special administrative projects.

Requirements

The Ideal Candidate:

  • Highly organized, detail-oriented, and polished in communication.

  • A self-starter who is comfortable working with sensitive financial information.

  • Calm under pressure and skilled at prioritizing tasks.

Required Qualifications:

  • 2+ years of administrative, executive assistant, or secretarial experience in financial advisory profession.

  • Tech Proficiency: Microsoft Office Suite (Word, Excel, PPT, Outlook, OneDrive).
