Job Description

Our Legal Assistant needs to manage our front desk daily and perform a variety of administrative and clerical tasks to assist the managing attorney in keeping the office functioning on a smooth basis. Our Legal Assistant will work closely with the managing attorney to prepare & review legal documents necessary to conduct a real estate closing. REAL ESTATE CLOSING EXPERIENCE IS REQUIRED!

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person, office, or conference room
  • Answer, screen and forward incoming phone calls
  • Assist with closing files as needed (e.g. disbursing funds/scanning documents)
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Keep inventory of stock
  • Update calendars and schedule appointments or meetings
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Request documents necessary to conduct closings according to contract terms
  • Check legal documents for accuracy
  • Obtain attorney approval for legal documents related to the transaction
