Responsibilities
 
Repair Order Management
  • Review and filter the daily “cashier stack” of repair orders to determine status
    • Deliver open repair orders to the Warranty Administrator or appropriate personnel for completion
  • Retrieve new model year vehicle file folders from the cashier
    • Verify folders are properly separated and file them correctly
  • Retrieve closed guest pay and warranty repair orders from the Warranty Administrator and/or Service Manager for permanent filing

PDI & Internal Repair Order Filing

  • Retrieve repair orders for PDI vehicles from the Internal Service Advisor
  • File PDI repair orders by repair order number (not VIN) in banker’s boxes
  • Monitor banker’s box capacity
    • When a box is full, transport it upstairs to the appropriate retention area
    • Begin a new box as required

 Warranty & Documentation Handling

  • Transport warranty repair orders requiring manager signatures to the Service Manager
    • After signatures are obtained, file repair orders according to established procedures
  • Staple the correct invoice sheet to the corresponding repair order
    • Reconcile invoice pricing against provided lists
    • Circle and stamp invoices that match

 Filing, Retention & Disposal

  • Separate repair orders and file them in accordance with written dealership procedures
  • Shred unnecessary or expired documents only when authorized by the Service Manager or Warranty AdministratorGeneral Support & Facility Duties
  • Run errands as needed to support the service department
  • Maintain a clean, neat, and organized work area
  • Perform custodial duties as assigned
  • Empty trash daily or as needed

Required Qualifications

  • High school diploma or the equivalent
  • High attention to detail and accuracy
  • Strong organizational skills
  • Ability to follow written procedures and retention guidelines
  • Ability to handle confidential information professionally
  • Physical ability to lift, carry, and transport banker’s boxes and files
  • Valid driver's license and acceptable driving record

Preferred Qualifications

  • Prior dealership or office filing experience
  • Familiarity with automotive repair orders
  • Experience working in a service department environment
