Job Description

Perform all project coordinating tasks related to customer calls, job management and tracking, scheduling of jobs, and customer satisfaction activities. Perform general office duties such as drafting correspondence, filing, and creating reports. We will train you.

Responsibilities
  • Provide excellent customer service
  • Receive general phone calls and actively communicate with adjusters and project managers
  • Receive and dispatch lead calls and job referrals
  • Perform detailed and accurate data entry, including analyzing dispatch reports
  • Coordinate crew and job scheduling
  • Perform general administrative duties
  • Assist other departments as needed
  • Monitor job file status and job file audit status
  • Maintain job file WIPs
  • Monitor and ensure client requirements are followed
  • Review and validate initial field documentation
  • Create preliminary estimates
  • Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process
  • Maintain internal and external communications
  • Complete and review job file documentation for final upload and audit process
  • Perform job close-out
Qualifications
  • 1+ year(s) of administrative, office-related, or business experience
  • Working knowledge of current business software technologies required
  • Experience in commercial cleaning, restoration, or insurance industry desired
  • Customer service, quality assurance, and scheduling experience a plus
  • Ability to remain calm and professional during stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Ability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate and proprietary systems
  • Access to a reliable personal cell phone for business-related communication and multi-factor authentication (authenticator apps) during work hours
  • Ability to successfully complete a background check subject to applicable law

Compensation: $17.00 - $20.00 per hour
