Job description

GENERAL SUMMARY:

Under direct supervision, provides clerical support for the Physical Rehabilitation Service product lines and assists with routine patient care with an emphasis on customer satisfaction and competency in dealing with a diverse patient population.ย 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Timely registration of patients for outpatient rehab services.ย 
  • Gathers necessary information to provide insurance verification and authorization for services, documents info in patient history.ย 
  • Place, answer, screen and direct telephone calls, providing routine information or taking accurate messages.ย 
  • Collects payments for outpatient services, co-pays, deductible, generates receipts and balances cash drawer dailyย 
  • Schedules patients for first available appointment based on patient's availabilityย 
  • Performs charge entry on a daily basis keeping account information up to date.
  • Maintains supply of charts, office supplies, and forms.ย 
  • Generates daily schedules for facility, therapists, and techs.ย 
  • Courteously answers inquiries by phone or in person and directs guests appropriately.ย 
  • Answers routine questions regarding departmental policies and procedures.ย 
  • Sorts and distributes incoming mail.ย 
  • May instruct patient and families regarding therapy schedules and registration procedure.ย 
  • Inform outpatients and families regarding insurance benefits.ย 
  • Perform routine clerical functions such as photocopying faxing and filing.ย 
  • Assist in setting up routing physical therapy treatments such as whirlpool, hot and cold packs, paraffin, traction, electric stimulation and other routine modalities under close supervision of a PT or PTA and in accordance with established treatment plans.ย 
  • Assist in the stocking of linen and removing soiled linen from OT/PT department.ย 
  • Assist in the cleaning and storage of equipment and supplies and make minor adjustments and repairs to equipment as needed.ย 
  • Assist in the cleaning of the OT/PT departments.ย 
  • Monitor and log the temperature of the hot and cold pack machines and the patient refrigerator.ย 
  • Monitor and log the oxygen tank for the amount of oxygen left in tank. Call respiratory therapy to have tank refilled if necessary.ย 
  • Order and stock routine supplies/equipment for OT/PT department.ย 
  • Work cooperatively with others to meet team and organizational goals.ย 
  • Plan and act with internal and external customers in mind.ย 
  • Promote positive relationships through effective communication.ย 
  • Seek to understand and improve work-related processes.ย 
  • Attend department staff meetings and in-services. May complete and distribute staff meeting minutes.ย 
  • Observe all hospital and department policies.ย 
  • Perform other related duties as requested.

EDUCATION/EXPERIENCE REQUIRED:

  • High School Diploma or equivalent required.
  • A minimum of one year experience using a patient registration, verification & scheduling system, preferred.
  • Knowledge of medical terminology preferred.
  • Interpersonal skills to effectively greet and communicate (in person and by telephone) with customers and co-workers.
  • Basic computer skills to allow use of hospital order communication system and software programs.
  • Use of standard office equipment (e.g. copy and FAX machines, computers, etc.)
  • Strong organizational skills and ability to work in an environment with multiple interruptions.
  • Willingness to learn new skills needed to perform job.
