Job description

KEY RESPONSIBILITIES
  • Manage facilities team (six to eight people) and establish / enforce communication chain of command
  • Oversee the completion of preventive maintenance and reactive repair maintenance activities
  • Work with facilities team to respond to and coordinate all emergency call activities, as necessary
  • Ensure building staff requests are being responded to in a timely manner through the online ticketing system (CMMS)
  • Manage facilities team in coordinating required governmental inspections, and to ensure that regular inspections of all areas of the building are being completed as expected
  • Manage facilities team in ensuring compliance with local, state, and federal regulations, which includes maintaining up-to-date building documentation and certifications
  • Ensure compliance with local regulations regarding vendor procurement
  • When necessary, oversee and assist facilities team in obtaining and leveling bids for recommendation to School Staff and Facilities Team
  • Assist in developing and managing facility budget with collaboration from Facilities team, School Staff, President and Finance department
  • Review and submit invoices in web-based accounting software
  • Attend necessary school meetings to support facilities team
  • Hold facilities team and outside vendors accountable to ensure the strategic plan is implemented and managed, as intended
  • Oversee and coordinates the custodial staff and cleaning services for four school facilities. Manage custodial schedules to ensure adequate coverage for all shifts, including evenings, weekends, and holidays as needed.
  • Maintain inventory of cleaning supplies, equipment, and materials. Order supplies and manage procurement processes while adhering to budgetary constraints.
  • Conduct regular inspections of facilities to ensure cleanliness and maintenance standards are met. Address and resolve any issues related to the condition of the buildings.
  • Event Coordination: Collaborate with school administrators, teachers, and external parties to plan and execute a variety of events, including school functions, community meetings, and special events.
  • Setup and Breakdown: Oversee the setup and breakdown of event spaces, including arranging furniture, and ensuring the venue is prepared for events.
  • Post-Event Clean-Up: Ensure that post-event clean-up is conducted efficiently and thoroughly, including the removal of debris, restoration of the venue to its pre-event condition, and inventory check of supplies and equipment.
QUALIFICATIONS
  • Bachelor's degree in engineering, facilities, real estate, project management, or a related field; AND five (5) years of facilities and maintenance experience at a management level; OR an equivalent combination of education, training and experience.
  • Preferred certifications and designations: FDNY S12, S13, S95, Q01 (RSOE - Refrigeration System Operating Engineer), BOMI's RPA/FMA, or IFMA's CFM. FDNY Certificates of Fitness S12, S13, S95 required within 90 days of starting this role.
  • Multi-site experience required.
  • Demonstrate general knowledge, experience, and proficiency in various areas of maintenance, including plumbing, painting, carpentry, masonry/concrete/tile work, window glazing, electrical systems, mechanical systems, HVAC and boiler systems, roof repair, plastering/spackling, field/playground maintenance, and furniture repair.
  • Demonstrated knowledge of city, state and federal rules and regulations required for the operation and oversight of a school facility and related capital projects.
  • Fluency with Client system and knowledge of Microsoft Office, Google Suite, and Excel. Willing to learn new software programs as needed.
  • Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high level of responsibility and multiple priorities
